Position Summary – Strategic Goals:

The Operations Director is responsible for overseeing day-to-day operations of the Alberta Aviation Museum. They lead the Operations & Facility Team and ensure the efficient and effective internal administration of the organization with key areas of focus relating to the facility, maintenance, rentals, security, human resources management and volunteer management. The Operations Director is a member of the Leadership Team and works with that team to support the community and strategy and museum practices aspects of the museum's work from an operational perspective. The Operations Director may be requested to act as Executive Director in absences and vacation coverage from time to time and, as such, works closely with the Executive Director to understand the priorities and activity in that portfolio. They are the Executive Director's delegated staff member to attend Board meetings and serve as Recording Secretary.

Responsibilities & Duties

Operations

  • Oversees operational management of day-to-day activities of museum
  • Oversees the efficient and cost-effective allocation of resources directed toward utilities, repairs, maintenance and related requirements at the facility
  • Oversees the development and implementation of human resource strategies and practices involving staff hiring, orientation, training and development, performance management, appreciation, recognition, compensation and benefits, policies and procedures. HR Policies and procedures are consistently reviewed on an annual basis.
  • Act as Human Resource Management contact for the museum staff and government
  • Oversee Lease and contract matter with tenants, partners, custodial, security and other facility related and rental contractors. Responsible for maintaining data base and disbursement of keys and security codes for building.
  • Oversee the human resources function of Volunteer Management – together with the various departments leads
  • Assist in ensuring all nonprofit, charitable organizational requirements are met and contractual obligations are fulfilled.
  • Provide leadership in needs assessment and operational planning, priority setting and evaluation in the context of the museum's strategic framework, ensuring broad-based participation from staff, volunteers, community residents and program users

Qualifications

  • Degree or equivalent experience in a related discipline, such as public administration, business management, museum management or cultural resource management.
  • Minimum of three year's experience working in a financial or operational capacity in an office environment.
  • Demonstrated experience in HR management, including performance management, recruitment    and employee relations.
  • Experience with non-profit organizations and cultural organizations is considered an asset.
  • Experience with QuickBooks, payroll programs, Square POS, MS Office, Google applications and non-profit CRM systems considered an asset.
  • Strong organization and time management skills.
  • Demonstrated people skills and conflict resolution skills.
  • Ability to handle sensitive and confidential materials and information.
  • Ability to manage multiple priorities.
  • Strong interpersonal communication skills for internal and external relationships.
  • Ability to work collaboratively and independently.

Volunteers

  • Recruitment/advertising, onboarding, and maintaining volunteer application and interviewing process
  • Utilize volunteer feedback to assess the effectiveness and impact of existing volunteer program, making changes as necessary to serve the needs, ages, and abilities of the volunteers
  • Develop and implement a volunteer schedule suitable to visitor facing roles
  • Create or revise current volunteer position descriptions/roles
  • Develop and manages current data related to each volunteer file in the data base
  • Provide motivation, guidance and leadership to ensure effective teamwork and high standards of work
  • Develop orientation and training procedures and resources for volunteers tailored to meet the specific needs of each role
  • Educate and ensure adherence by volunteers to safety standards of the hangar
  • Plan, prepare and attend events to recruit needed volunteers
  • Hold monthly meetings for collaboration and
  • Develop collaborative relationships with various other volunteer-oriented organizations
  • Coordinate with other department staff on the number and type of volunteers required inclusive of special events
  • Scheduling and orientation for volunteers in collaboration with their supervisors
  • Plan and execute appreciation events in recognition of their contributions
  • Work with all departmental staff regarding volunteer needs

Leadership

  • As a member of the Leadership Team work collaboratively with the Executive Director and Curator to ensure the AAM is advancing the Strategic Framework and meeting the goals expressed in the museum's Business Plan.
  • Collaborates cross-departmentally to ensure financial and operational alignment with museum programs and initiatives.
  • Act on behalf of Executive Director in their absence
  • Manage the Executive Director's assignments in his/her absence, including acting as spokesperson for the museum to the media and other external parties
  • Support ED as Recording Secretary at Board meetings. Support in the preparation of correspondence and presentations for Board of Directors
  • Attend and contribute to meetings with Board Members, stakeholders and contractors as required
  • Conduct performance evaluations for part-time staff with the Executive Director
  • Organize, track information and stats about volunteers and volunteer hours
  • Assist with raising funds and the profile of the museum through participation in community events
  • Actively fosters a culture that reflects the Museum's values (respect, community, stewardship, knowledge, passion) and builds a strong cohesive team
  • Provides regular direction, support, and feedback on performance to direct reporting persons.
  • Assist with the oversight and development of projects to completion.

Key Organizational Relationships

Work closely with Leadership Team as Team Member. The Leadership Team members are: Executive Director (Lead), Operations Director, Curator.

Operations & Facility Team – serve as Team Lead. The Operations & Facility Team members are: Operations Director (Lead), Facility Maintenance Coordinator, Rental Coordinator and the Visitor Service Coordinator.

The Operations and Facility Team manages the museum facility, human resource management function, volunteers and rentals. This team leads the AAM's operational transition in three areas.

1.     Managing staff and volunteers, including performance planning and assessment, toward the strategy expressed in the business plan.

2.     Monitoring expenditures relate to the museum's fixed costs to align with the budget recommendations.

3.     Ensuring healthy and strong internal relationships with staff, volunteers, and tenants.

Provides leadership for staff and volunteers by engaging staff with the Sustainability Goals, creating a positive working culture and providing opportunities for professional growth and development.

Salary Range: $52,000 - $55,000
