Position Summary

The Resource Manager will work with the account and project management team to intake labour requests, make recommendations on crew size and book labour and transportation. The resource manager is responsible for planning, coordinating, and managing labor resources (internally and externally) required for event installations and dismantles. This role ensures that the right crews are scheduled, prepared, and deployed efficiently to meet project timelines, safety standards, and production requirements. The resource manager will also book logistics and any required equipment for each event. The ideal candidate is highly organized, can multi-task, calm under pressure, and experienced in live event or production environments.

Key Responsibilities

Resource Planning & Scheduling

  • Plan and schedule labor resources for all installs and dismantles across multiple projects.
  • Coordinate internal crews and external third party labour.
  • Anticipate staffing needs based on project scope, timelines, and technical requirements.
  • Booking trucking and logistical needs for each activation.

Crew Management

  • Assign crew roles based on skill sets, certifications, and experience.
  • Act as the primary point of contact for install/dismantle crews.
  • Communicate call times, site details, scope of work, and safety requirements.

Operational Coordination

  • Work closely with Project Managers, Production Managers, and Warehouse teams to align labor with equipment readiness and site logistics.
  • Ensure installs and dismantles are executed efficiently and on schedule.
  • Support on-site leads with staffing adjustments as needed while being mindful of the budget.
  • Ensure any overages are communicated to the account team.

Administrative & Reporting

  • Assist with post-event reporting and continuous improvement initiatives.

Qualifications & Experience

  • 3+ years of experience in live event production, experiential marketing, tradeshow, or related fields.
  • Proven experience scheduling and managing labor for installs and dismantles.
  • Strong understanding of event production workflows and timelines.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Comfortable working flexible hours, including evenings, weekends, and overnight shifts as required.
  • Proficiency with scheduling tools, spreadsheets, and familiarity with Salesforce is an asset.
  • Valid driver's license and access to a vehicle.

Job Details

  • Full-time, Monday–Friday (8:30am–4:30pm)
  • Benefits available after a 3-month probationary period
