At The Vantage Talent Group, one of our clients is looking for a qualified Client Service Associate.

The Job Description is below:

Client Service & Support

  • Provide support to advisors, ensuring they are fully prepared for client meetings, including compiling reports, financial summaries, and relevant documentation.
  • Draft and send client correspondence on behalf of advisors.
  • Coordinate meeting schedules, and handle logistics to ensure appointments are timely and well-organized.

Wealth Management Administration

  • Prepare trade tickets with accuracy and efficiency.
  • Follow up on trades to ensure timely execution and resolution of any discrepancies.
  • Process financial transactions and maintain proper documentation.
  • Maintain client account records and track outstanding action items.

Insurance Administration

  • Manage in-force insurance business, ensuring all client requests are handled promptly and effectively.
  • Coordinate with insurance carriers to resolve inquiries and provide policy updates.
  • Assist clients with policy changes, renewals, and claims processing.

Operational Support

  • Maintain compliance documentation, file notes, and audit-ready client records.
  • Take ownership of the CRM system to ensure accurate and up-to-date client information.
  • Manage automated processes, identify new opportunities and run reports within CRM.
  • Leverage tools such as Excel to deliver accurate, practical information.

Qualifications

Experience & Certifications

  • 1 year of administrative experience in financial services.
  • Strong analytical and problem-solving skills with a proactive, self-starter mindset.
  • Advanced proficiency with digital tools and platforms.
  • Life insurance license and/or Mutual fund license an asset.

Skills

  • Extremely proficient with CRM system- including datamining, running reports, etc.
  • High attention to detail with strong organizational skills and the ability to manage multiple client requests.
  • Advanced Excel and Microsoft Office skills
  • Proficiency with industry systems such as insurance carrier portals and/or fund company systems an asset.
  • Good written and verbal communication skills.
  • Client-first mindset and a strong ability to build trust.

  • Thrives on daily interaction with advisors and clients in an independent firm environment.
