Location: Calgary, Palmer Hangar
Schedule: Four days on shift followed by four days off, based on a 12-hour workday, including evenings, weekends and holidays.
Starting salary: $50,000
Term: 1 Year Temporary (Parental Leave)
The big picture:
The Travel Coordinator is an active part of AirSprint's day-to-day operations, working closely with the Operations Control team to keep flights moving smoothly by ensuring pilots are where they need to be, when they need to be there. This internal, logistics-driven role manages pilot travel arrangements such as hotels, commercial flights, and ground transportation, while adjusting plans quickly as schedules and operational needs change. With strong organization, attention to detail, and clear communication with airlines, hotels, and internal teams, the Travel Coordinator directly supports our pilots, contributes to seamless flight execution, and plays an important role in delivering the reliable, high-quality service our owners expect.
In this role you will:
- Research and compare hotel accommodations to identify the best available option that balances crew satisfaction and operational requirements.
- Book crew hotels following established standards and price guidelines and obtaining approval when expenses exceed fixed limits.
- Research and compare airline flights for crew positioning to identify the best option supporting AirSprint's operations schedule.
- Book crew airline tickets following established standards and price guidelines and obtaining approval when expenses exceed fixed limits.
- Coordinate seamless ground transportation for crews, ensuring timely and efficient travel to destinations while adhering to established standards and price guidelines.
- Input all crew travel logistics into the flight scheduling software.
- Process any necessary cancellations of crew travel logistics, ensuring timely and accurate updates to travel arrangements.
- Assist with reconciling the company credit card statement for any charges related to crew travel.
- Manage and maintain databases related to travel arrangements, including hotels, transportation, crew loyalty programs, and passport information in the flight scheduling software and travel management tool.
- Actively participate in the AirSprint Travel Committee.
- Research and identify cost savings opportunities.
- Additional duties as assigned by the Operation Control Manager.
To be successful in this role, you will have:
- High school diploma or equivalent.
- A minimum of one (1) year of experience in travel coordination or a related role within the aviation or hospitality industry.
- Intermediate proficiency in Microsoft Office (Outlook, Excel, Word).
Bonus points if you have:
- Post-secondary education in Travel, Tourism or Hospitality.
- Previous aviation and/or travel agent experience.
- Proficiency in French.
