As a Medical Coordinator, you will provide senior administrative and program coordination support to the Occupational Health Nurses. Primary duties include:
- Coordinate occupational health and safety appointments and testing by scheduling employees with internal staff, external vendors, and laboratories.
- Track attendance and completion and follow up on outstanding documentation.
- Receive, organize, and process occupational health documentation and results (e.g., audiometric testing, blood and exposure testing, medical surveillance records), including data entry into spreadsheets and databases and preparation of information for review by Occupational Health Nurses.
- Provide administrative and coordination support for occupational health programs, including preparing documentation, entering, and maintaining program data, and supporting clinics and initiatives.
- Monitor and manage the Occupational Health team email inbox, triaging requests, responding to routine inquiries, redirecting items as required, and ensuring timely follow-up.
- Maintain accurate, confidential employee medical and program records, tracking logs, and databases in accordance with the Health Information Act (HIA), Calgary Police Service (CPS) policies, and applicable privacy and security requirements.
- Identify opportunities to improve administrative workflows, data organization, inbox management, and coordination processes across occupational health programs.
Qualifications
- A 1 year medical office assistant certificate or business/administrative certificate.
- A minimum of 5 years related clinical experience in an occupational health, health care, or law enforcement administrative environment.
- Proficiency in Microsoft Excel, including data entry, basic formulas, and maintaining tracking spreadsheets.
- Experience with electronic records management systems, databases, or shared document repositories in considered an asset.
- Strong organizational skills and the ability to manage competing priorities in high-volume, confidential environment.
- Success in this position requires emotional intelligence; creating and sustaining safe, respectful, and inclusive workplaces; promoting supportive, balanced, and professional accountability; building and maintaining relationships; developing self and others; striving for results.
Pre-employment Requirements
- An enhanced security clearance will be conducted.
- Successful applicants must provide proof of qualifications. Education obtained from out of country must have or be able to obtain, an Education Credential Assessment (ECA) for confirmation of equivalent credentials.
