Operations Manager

The job of the Operations Manager (OM) is to work alongside the General Manager (GM) as well as our professional property manager (PM) to ensure protection of owners assets and increase livability in our strata.

The OM must maintain a professional attitude at all times, especially when dealing with building residents, and understand the importance of accurate record keeping to assist the GM and PM when dealing with issues that arise.

KEY RESPONSIBILITIES FOR POSITION:

EVERYDAY TASKS

  • Manage and understand all building systems, including but not limited to: mechanical, electrical, plumbing, HVAC, elevator, and life safety
  • Update and monitor the CMMS system currently in place (FiiX), and create / monitor preventative maintenance plan for all strata assets, including but not limited to: mechanical, electrical, plumbing, HVAC, elevator and life safety
  • Monitor warranty period of strata assets using CMMS and ensure building assets are inspected and repaired accordingly
  • Monitor all building suppliers and related tradespeople on site, including full workflow from job estimate to job/work order to invoice to payment and steps and communications in between
  • Identify issues with any suppliers or tradespeople and assist GM / PM in correcting. Maintain accurate records to support billing queries when they arise, including contract terms, expiration dates and related
  • Monitor FiXX application during working hours for owner service requests, and close / update via email all tickets on a weekly basis by noontime Friday
  • Monitor in suite building renovations for bylaw adherence, and assist GM / PM in enforcement where necessary. Prepare monthly report for GM with updates
  • Work alongside GM / PM regarding insurance claim issues, including but not limited to: determining source of loss, below deductible loss, chargebacks and related, and maintaining evidence and records in support
  • Assist GM in hiring and overseeing a building handyman, whose tasks include but are not limited to: power washing of easily accessible strata property, cleaning of common area water features and pool, changing of filters in HVAC system including MUA units, repair and replacement of common property that is damaged or worn as per GM, emergency snow removal where necessary and safe to do
  • Monitor complex for cleanliness and contact janitorial and other contracted services when QC is not up to standard. Put in place plan for monitoring on weekends and times when OM off site

PLANNING WORK AND COMMITTEE INVOLVEMENT

  • Role will require occasional evening work e.g. Council meetings, which is integral to the role as well as various committee involvement such as Building Operations Committee (BOC) and Landscaping Committee
  • Involvement in capital projects undertaken by the Strata Corporation from time to time e.g. scheduling, facilitating and monitoring vendors on site. This would be in addition to monitoring vendors for general annual maintenance items
  • Assist GM and various council committees in short and long term planning, including yearly budget and capital planning for 1, 3, 5 and 10 year plans
  • May be required to undertake specific time limited projects as required
  • Working knowledge of Reliable DDC a bonus

DETAILS AND REMUNERATION:

  • Permanent full time employment position with strata corporation (40 hours per week)
  • Due to the nature of the work, this is an on site position
  • Wage dependent on qualifications and length of service
  • Benefit package including paid vacation and extended medical provided

Pay: $55,000.00-$75,000.00 per year
