About You

The team at Moore Equine is excited to welcome a full-time Receptionist to our busy, client-focused veterinary practice We're looking for someone who thrives in a fast-paced environment, brings exceptional organizational and communication skills, and delivers outstanding customer service with professionalism and care.

As the ideal candidate, you are detail-oriented, tech-savvy, and comfortable using scheduling systems (HVMS experience is an asset). You are able to stay calm under pressure and create a positive experience for every client. You'll need to juggle multiple priorities with accuracy, adapt quickly to changing situations, and work collaboratively as part of a supportive team. Experience in an equine setting, veterinary hospital, or medical reception setting is an asset.

Key Responsibilities

  • Manage phones, appointment booking, patient check-ins, and client inquiries.
  • Process payments, prescription refills, callback reminders, and referral calls.
  • Maintain front office operations, including opening/closing procedures, coffee supplies, client visits.
  • Handle email inquiries and provide administrative support for veterinarians.
  • Prepare hospital forms, euthanasia consents, and patient admissions.
  • Input holidays and recurring meetings into HVMS and manage schedule blocking.
  • Organize aftercare, lab pickups, and sample shipping.
  • Coordinate regulated CFIA testing and export and import paperwork (Canada/US/Europe).
  • Process after-care, lab, and CFIA billing.
  • Assist with community engagement initiatives and event planning.
  • Lead event scheduling and staff coordination.
  • Manage UCVM/WCVM donations and send sympathy cards.
