Purpose

Bring your office expertise and passion for facilitating high-quality, compassionate care to a challenging and rewarding Clinic Manager role within the Primary Care Network. This group practice clinic supports unattached patients across the Kootenay Boundary region of British Columbia.

The Clinic Manager provides operational leadership and coordination to support an interdisciplinary clinical team that includes a Registered Nurse, a Nurse Practitioner, and more than 18 Family Physicians, with ongoing recruitment underway to meet the growing needs of unattached patients.

Clinic Information

The KB Access Clinic provides timely, as-needed care to patients across the Kootenay Boundary who do not have a family doctor or nurse practitioner, using a combination of virtual and in-person services. As a locally based service delivered by local providers, the clinic is designed to meet the diverse needs of the population it serves.

The Clinic Manager is an employee of Prima Health Co-operative, a community-based, not-for-profit cooperative that manages primary care clinics in multiple locations across the Kootenay Boundary. More information about Prima Health is available at .

This clinic is part of the Kootenay Boundary Primary Care Network (KB PCN), a partnership between the Ministry of Health, Interior Health, the Kootenay Boundary Division of Family Practice, and Aboriginal Partners. All aspects of the clinic are aligned with the delivery of culturally safe, patient-centred, team-based care.

The goal of the KB Access Clinic is to improve access to primary care for unattached patients, reduce strain on emergency departments, and enhance patient outcomes by providing high-quality care until patients can be permanently attached to a primary care provider within their home community.

Clinic Manager Role

The Clinic Manager works collaboratively with the service team to support the full scope of primary care delivery for unattached patients in a group practice setting.

The ideal candidate is a self-motivated leader who takes initiative, is comfortable with ambiguity, and thrives in a dynamic and evolving environment. The role requires a strong understanding of culturally safe care, comfort with virtual health delivery, and the ability to support interdisciplinary teams in a blended in-person and virtual model.

The Clinic Manager is expected to:

  • Work collaboratively as part of a high-performing, interdisciplinary team delivering team-based care
  • Contribute to the development of an innovative clinic model, including efficient systems, workflows, and team processes
  • Travel within the region (primarily Nelson and Castlegar) to support clinic operations, training, and team needs
  • Facilitate clinic operations remotely from a home office
  • Work a variable schedule aligned with clinic and team availability
  • Create and maintain clinic schedules and operational plans

Experience working with populations that face barriers to accessing traditional primary care, along with strong knowledge of local and community-based resources, is an asset.

The Clinic Manager provides leadership to ensure the clinic functions optimally. This includes supporting high-quality patient care, maintaining effective financial and operational systems, fostering a healthy and supportive work environment, and enabling team members to grow in their roles. The role includes participation in quality improvement initiatives, identifying opportunities for improvement, and supporting the implementation of solutions in collaboration with the clinic team.

Key Relationships

The clinic is supported by a dedicated core team that includes the Clinic Manager, Medical Office Assistant (MOA), Registered Nurse (RN), Nurse Practitioner (NP), a group of Family Physicians (FPs), and a Medical Director, working together to create a sustainable model of care.

The Clinic Manager works collaboratively within a self-managed team to develop efficient clinic systems and facilitate the delivery of exceptional care. The role works closely with Prima Health Co-operative, which provides support in Finance, Recruitment, Human Resources, and other areas as identified from time to time.

Duties and Responsibilities

The Clinic Manager oversees day-to-day clinic operations in partnership with the Medical Director, functioning as an operational dyad. The Clinic Manager ensures clinic operations are optimized, supports the clinical team in managing patient care needs, and oversees digital systems and workflow optimization.

The Clinic Manager may delegate specific tasks to colleagues while retaining overall accountability for clinic operations.

1. Human Resources and Team Management

  • Provide human resources support and day-to-day people management
  • Oversee staff onboarding, orientation, and role clarity
  • Support staff scheduling, attendance tracking, and performance issues
  • Foster a healthy, respectful, and collaborative clinic culture
  • Lead regular provider huddles and team meetings

2. Policies, Procedures, and Safety

  • Ensure compliance with organizational, regulatory, and PCN policies
  • Develop, implement, and maintain clinic-specific protocols and procedures
  • Maintain clinic safety policies and incident response processes
  • Address and follow up on clinical or operational concerns as they arise

3. Financial and Administrative Oversight

  • Oversee MSP billing submissions and provide provider billing support
  • Monitor staff attendance reporting and payroll inputs
  • Liaise with the Prima Health bookkeeping team
  • Track and follow up on invoicing and outstanding financial items

4. Scheduling and Operations

  • Manage scheduling for Medical Office Assistants, Nurse Practitioners, and Family Physicians
  • Ensure smooth daily clinic operations and effective clinical flow
  • Monitor workload distribution and adjust scheduling as needed

5. Communications and Stakeholder Liaison

  • With support from Prima Health, oversee internal and patient-facing communications
  • Coordinate updates to clinic information and website content
  • Organize and support clinic operations committee meetings
  • Act as the primary liaison between Prima Health and the clinic team

6. Information Technology and Systems

  • Oversee clinic IT infrastructure, including hardware and software
  • Manage systems related to EMR, scheduling, and AI scribe tools
  • Coordinate EMR training and ongoing system support for providers
  • Ensure providers have the tools and systems required to work efficiently

7. Provider Support and Interface

  • Serve as the primary operational point of contact for providers
  • Support optimization of basic clinical workflows
  • Assist providers with billing, EMR use, and workflow-related questions
  • Follow up on provider-identified issues and system improvement opportunities

8. Quality Improvement and Reporting

  • Support ongoing quality improvement initiatives
  • Identify opportunities to improve clinic systems and care delivery
  • Coordinate required reporting, including reporting related to patient attachment
  • Attend regular internal and external meetings as required
