JOB SUMMARY
This posting is for a hybrid role of Kinesiologist and Patient Care Coordinator.
The role of our Kinesiologists is to support our physiotherapy staff through exercise demonstration & supervision; assistance with treatment modalities; and maintenance of clinic flow. Our Kinesiology team is integral to the daily operation of our clinics, in addition to assisting the Physiotherapists, they also support and assist the Kinesiologist Coordinator in the daily activities, maintenance and upkeep of the clinic space. This position requires you to explain, demonstrate, and supervise proper exercise technique.
The Patient Care Coordinator is the first point of contact for all patients through phone or in person and ensures that all patients are provided guidance from their time of entry to the moment they depart. The goal of this position is to provide patients with outstanding customer service and support by greeting and acknowledging all individuals that enter the clinic. The Patient Care Coordinator position is a key patient facing role of Pivotal and is a positive ambassador for the company and our values.
The Patient Care Coordinator performs a variety of administrative duties. The position is responsible for scheduling appointments, supporting treatment planning and liaising with third party providers.
EDUCATION & QUALIFICATIONS
- Bachelor of Science in Kinesiology degree or Bachelor of Kinesiology degree from a recognized University.
- Practicum experience or 1+ years' experience working in a clinical setting.
- 1-3 years' experience working in a training environment.
- Minimum of 2 years of administrative and/or customer service experience.
- Experience utilizing EMR software.
ESSENTIAL RESPONSIBILITIES
Patient Care
- Responsible for coordinating and monitoring flow of patients through treatment space.
- Communicate the arrival of patients to the appropriate treating professional (Physiotherapists, Strength & Conditioning, Massage).
- Demonstrate, instruct and supervise patients on exercise prescriptions provided by the treating Physiotherapist or in the patient chart.
- Collaborate with the Physiotherapist on exercise recommendations & progressions
- Assist Physiotherapists with application of therapeutic modalities.
- Perform client checks to ensure comfort and undertake any necessary action during treatment.
Clinic Maintenance
- Responsible for cleaning and set-up of patient rooms prior to patient use.
- Clean and sanitize all equipment, hydroculators, contrast tubs, gym equipment, hand exercise tools, as per Alberta Health Services standards.
- Monitor flow of laundry and ensure adequate linens are available for use at all times.
- Ensure cleanliness of overall clinic space; including tidying equipment, dusting, vacuuming, wiping equipment as needed
- Responsible for keeping patient care materials stocked and ready for use (cutting tape, photocopying AP and x-ray consent forms, restocking AP cart); including monitoring clinic supply inventory sheets
- Assist front desk with required duties including answering phone calls, faxing, shredding, organizing patient files, putting away supplies and attending to patient concerns.
Reception & Patient experience
- Greet and acknowledge all individuals that come into our facility.
- Maintain a high level of professionalism and client service in all interactions with clinic staff, patients and others.
- Assist patients with checking in, including the completion of admission forms, explanation of clinic policies and available funding and payment methods.
- Attach appropriate insurance policies and/or funding streams to patient visits, reconcile daily transactions and receive and record payment for non-insured patients.
- Address any questions or concerns from patients and escalate appropriate concerns to the Clinic Manager.
- Ensure the reception and waiting room is always kept tidy and clean.
- Liaise with the treating clinician and support the team to maintain the flow of patients in and out of the clinic.
General Administration
- Adhere to relevant clinic office policies and procedures.
- Perform administrative duties, email communications, such as data entry, maintain electronic records and faxing.
- Coordinate Clinician schedules and complete opening duties for the day.
- Perform necessary closing procedures including reconciling daily transactions, balancing the POS system and setting follow up tasks for outstanding accounts and/or administrative tasks.
- Monitor incoming correspondence, communicate necessary information to the appropriate external parties and/or clinicians and upload documentation to patient files.
- Manage appointment cancellations to ensure appropriate follow up tasks are set, monitor unscheduled patient report and liaise with clinicians for client retention and follow-up.
- Comply to health and safety guidelines.
Administration of Third-Party Payors
- Manage timely and accurate communication between patients, clinicians, third party payors and relevant staff.
- Demonstrate a comprehensive understanding of all funding streams and available service offerings (i.e; WCB, MVA, OCPS, DND, VAC, EHCB) to follow all procedural guidelines and billing variances.
- Maintain accurate and up-to-date records of attendance and funding limits including tracking appointments, monitoring insurance approvals and maintaining accurate electronic records and associated documentation.
- Ensure continuity of care and patient compliance by maintaining communication with adjusters, case managers, third party vendors and patients.
- Complete processing of payments through third-party benefit providers and maintain billing records.
SKILLS & KNOWLEDGE
- Communication (oral & written): explaining exercises clearly, actively listening to patient feedback, writing detailed chart notes, emailing clients and third party providers, phone calls, etc.
- Adaptability: ability to adjust to a fast paced environment and work with multiple patients at a time or handle multiple tasks at a time
- Anatomy & Exercise Knowledge: use in depth knowledge of human anatomy and functional fitness while supporting patients and collaborating with other practitioners
