We are seeking a detail-oriented and proactive
Hardware Procurement Coordinator
with hands-on experience in
ServiceNow Asset Management
to support the end-to-end lifecycle of IT hardware assets. This role involves managing hardware procurement requests, tracking assets through ServiceNow, coordinating with vendors, and ensuring compliance with procurement policies and inventory controls.

Key Responsibilities:

  • Coordinate and process IT hardware procurement requests across departments, ensuring timely fulfillment and delivery.
  • Maintain accurate records of hardware assets using the
    ServiceNow Asset Management module
    , including tracking, updates, and reconciliation.
  • Collaborate with internal stakeholders to validate procurement needs and ensure alignment with approved hardware standards.
  • Work closely with vendors to obtain quotes, track orders, resolve discrepancies, and follow up on deliveries.
  • Ensure all assets are tagged, documented, and updated in ServiceNow upon receipt and deployment.
  • Support lifecycle management, including hardware refreshes, retirements, and disposal in accordance with company policy.
  • Assist in audits and reporting by generating asset reports, usage summaries, and procurement metrics.
  • Collaborate with IT support and finance teams to support budgeting, invoicing, and cost allocation related to hardware procurement.
  • Identify process improvement opportunities in procurement workflows and asset tracking.

Qualifications:

  • 3+ years of experience in IT hardware procurement or asset coordination.
  • Strong knowledge and hands-on experience with
    ServiceNow Asset Management
    (mandatory).
  • Familiarity with IT hardware (laptops, desktops, peripherals, mobile devices, etc.).
  • Experience working with vendors and coordinating purchase orders and deliveries.
  • Excellent organizational and communication skills with a strong attention to detail.
  • Proficient in Microsoft Excel and other Office tools; knowledge of procurement systems is an asset.
  • Understanding of IT Asset Management (ITAM) practices and lifecycle processes.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.

Preferred:

  • Experience in an enterprise or regulated environment (e.g., banking, finance, healthcare).
  • Knowledge of ITIL or ITAM frameworks.
  • ServiceNow certification or training in asset management modules.
