Description:

**Responsibilities**:
- Assists the project delivery team to manage project related tasks, scope development, cost and financial forecast, scheduling, risk management, attend meetings, and stakeholder coordination;
- Participate in the construction activities to include attending construction meetings, take meeting minutes, review design submittals, and completing site observation reports;
- Participate in daily on-site visits to ensure health and safety, technical requirements, and quality compliance;
- Manage the technical documentation and the EDMS (Electronic Document Management System);
- Responsible for keeping the information up to date in our libraries (drawings, submittals, engineering reports, prints, and all project related documentation), assures completeness, verify revisions, distribute documents as needed, order documents as needed, and providing support services to all users;
- Act as a resource person for all VIA employees and providing support to the project delivery team to develop, review, and manage a wide array of technical document including engineering and architectural drawings, specification, request for information, and project management plans;
- Ensure the Project Team members are provided with adequate training and support to enable them to successfully use the procedure and systems in use by the Program;
- Compile date from various sources to update, prepare and present reports, write training manuals, write process plans, and presentations;
- Provide suggestions on how processes and procedures can be better adapted to the changing work environment;
- Carry out a variety of administrative tasks and review the priority of the assigned tasks to meet the needs of the entire Maintenance Facility Upgrade group.
Requirements:
- Degree in engineering, or relevant experience;
- 1-3 years' experience;
- Very good knowledge of the Microsoft Office Suite;
- Excellent communication, presentation and writing skills;
- Good knowledge of MS Office suite, SharePoint, Acrobat;
- Knowledge of Aconex and BlueBeam is an asset;
- Experience in the field of construction and asset;
- Previous rail transportation experience is an asset.
Competencies:
- Excellent written and verbal proficiency in both official languages (English/French);
- Excellent organizational skills with proven accuracy, reliability, attention to detail and completeness in job accomplishments;
- Ability to be proactive, self-motivated, and autonomous;
- Strong writing skills and ability to take meeting minutes, write training materials and procedures;
- Partnership building, relationship management and collaboration skills to work effectively with project delivery units;
- Good team spirit;
- Excellent organizational skills and attention to detail.
