Food Bank Operations Manager

**Job Summary**
We are seeking a dedicated Operations Manager to work directly with the President and Board to coordinate all programs of the Meaford Food Bank and Outreach. He/she will supervise staff and volunteers, oversee day-to-day operations and ensure compliance with policies and standards, including Food Safety and Food Banks Canada Standards of Excellence.
**Responsibilities**:
Program Management
- Prepare and submit orders for Second Harvest and SNAP programs.
- Submit requests for monthly Waterloo and Feed Ontario orders.
- Coordinate and confirm local grocery store orders and their delivery.
- Manage donor coordination for food and monetary donations.
- Supervise the Inventory Control Coordinator to maintain adequate stock, ensure proper food storage, and manage food distribution.
- Oversee the client/visitor database (Link2Feed) to ensure accurate and up-to-date information.
- Manage scheduling and assigned tasks for the Office Assistant.
- Ensure compliance with Food Safety regulations, including oversight of Food Safety Supervisors and record-keeping.
- Manage holiday hamper programs and oversee packing, storage, and distribution.
- Handle product recalls and notify clients of any affected items.
- Manage other Board-approved programs, including the Christmas “Star” Program.
Facility Management
- Oversee the opening and closing of the Food Bank.
- Ensure the facility and equipment are maintained and cleaned.
- Act as the Fire, Health, and Safety Supervisor, ensuring compliance with all guidelines.
Volunteer Coordination
- Recruit, orient, and train new volunteers and staff as approved by the Board.
- Manage volunteer scheduling and ensure adequate coverage.
- Provide regular training and updates on policies and procedures.
- Maintain volunteer records, including training logs.
- Gather feedback from volunteers via surveys and suggestion boxes.
- Coordinate volunteer recognition initiatives with the President.
Grant Writing and Reporting
- Implement grant activities, ensuring objectives are met, and prepare required reports.
Administrative Tasks
- Collect and distribute mail in the Office Assistant's absence.
- Provide financial documentation to the Treasurer and handle financial tasks as needed.
- Manage record-keeping for food donations, client data, volunteer data, and safety compliance.
- Work with the Office Assistant on social media content, including thank-you posts, updates, and newsletters.
- Prepare monthly reports for the Board and attend Board meetings.
- Assist the President with policy review and recommendations for new programs.
Required Qualifications:
- Experience supervising staff and/or volunteers in a non-profit setting.
- Program management experience, preferably in a non-profit environment.
- Strong self-management, organizational skills, and attention to detail.
- Proficiency in Google Suite, Microsoft Word, and Excel, with the ability to learn new software.
- Certification in Safe Food Handling through Food Banks Canada (or willingness to complete the course before starting).
- Customer service and client communication experience.
- Ability to collaborate effectively with diverse groups, including staff, clients, and donors.
- Strong verbal and written communication skills.
- Physical ability to lift up to 50 lbs and stand for extended periods.
- Police Vulnerable Persons Check within the last two years.
- Required to sign a confidentiality agreement and code of conduct annually.
