Reporting to the Director of Finance, the Finance Assistant performs a variety of accounting functions to process and maintain accurate computerized and manual records for ACCESS expenditures covering operations, staff, and clients according to established procedures and within set timelines.
**Finance and Accounts Payable**
- Code, total, batch, enter, verify, and reconcile transactions such as accounts payable, payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements on electronic and manual systems.
- Setup client files and process client reimbursements and payments covering items including tuition, books, bus passes, living allowances, work clothing, bonuses, etc. according to pre-authorized client account details.
- Receive requests, order, record, and distribute office supplies and compass tickets for all departments.
- Obtain an amendment from counsellors when a clients’ file has insufficient funds - to cover the amount owing.
- Issue purchase orders upon receipt of authorized requests.
- Review, record, and process timesheets. Maintain accurate details and absences on payroll timesheets, obtain authorized signatures and submit through electronic payroll system. Distribute payroll stubs to all offices.
- Prepare annual T4A and T4E client tax reporting.
**Finance Administration**
- Work collaboratively with all departments to source, provide and maintain up-to-date information of programs and client items to provide effective finance support services.
- Respond to questions from vendors, service providers, client, and auditors by reviewing data or sourcing required information from others.
- Set-up and maintain current electronic and paper personnel and finance files.
- Maintain orderly and accurate and accessible storage according to established regulations.
- Perform related administrative duties such as word processing, maintaining filing and record systems, faxing and photocopying.
- Provide coverage during reception absences by answering the phone, greeting visitors, and distributing mail.
- Perform other duties as required.
**Education and Experience**
Completion of bookkeeping courses, plus two years’ experience in finance and administration including accounts payable. Knowledge of Indigenous culture.
**Knowledge, Skills, and Abilities**
- Sound understanding of basic accounting principles and accounts payable processes
- Sound competency in MS Office: Outlook, Word, Excel and ACCPAC
- Exceptional attention to detail and problem solving
- Excellent verbal and written communication skills
- Strong attention to detail
- Great interpersonal skills - listening, collaborating, and providing excellent support services in alignment with ACCESS' Values
- Ability to multi-task and excellent time management skills
- Ability to work well in a team environment and with mínimal supervision
- Ability and positive willingness to adapt to new procedures and processes

- Flexibility and willingness to perform a variety of support tasks
- Respond to customer inquiries, maintain good customer relations, and solve problems.
**Salary**: From $23.00 per hour
