**Manager of Rehabilitation services**

**Full time - Permanent**

**JOB SUMMARY**

Under the leadership of the Director of Rehabilitation Services, the **Manager of Rehabilitation Services** is primarily responsible for supporting team lead, providers and administrative personnel working as part of the OPiH team. The responsibilities require collaboration with numerous stakeholders within OPiH and with external clients in order to achieve successful outcomes.

***Essential Responsibilities**
- Work with the lead physiotherapists and administration team to oversee the planning, implementation and evaluation of the organization's client services;
- Build strong relationships with OPiH’s external clients and partners to ensure that their needs are considered and supported;
- Advise on best practices and strategies for effective change management;
- Research and analyze existing and new business processes, programs and services;
- Advise on the creation of efficiencies for business and clinical processes and productivity;
- Help develop, revise and operationalize processes that support business/clinic activities and objectives;
- Provide support through the quality review and coordination of changes before the release of interdepartmental policies and procedures as well as post-implementation reviews following the releases;
- Work with Human Resources Department to effectively recruit and retain providers and staff;
- Work to develop and integrate protocols with admin and providers that are in alignment with Regulated Health Professional Regulation, Professional College Guidelines, Ministry of Health regulations, Infection Prevention and Control guidelines as well as Privacy;
- Coordinate and confer with members of the Operations team to resolve operating problems and difficulties, and participate in the development of operational procedures to address them;
- Oversee and ensure proper scheduling and coverage for all providers, staff and volunteers, including vacation and payroll;
- Oversee overall operations at different clinic locations, establish and monitor protocols and infrastructure;
- Oversee and ensure appropriate maintenance and calibration of all equipment;
- Oversee and maintain marketing for all sites including websites and social media;
- Oversee and monitor the purchasing of equipment, office supplies and ensure that there is adequate inventory for sale of merchandise;
- Negotiate terms with vendors where appropriate;
- Supervise team leads, clinicians and administrative personnel by promoting and encouraging above-average performance. Clearly communicate expectations, monitoring day to day performance, and providing ongoing feedback and coaching as required.

**Leadership**
- Supervise lead physiotherapists, administrative personnel, providers and volunteers;
- Coordinate and facilitate regular team meetings to identify and address high-level, long term issues ensuring consistent follow-up and resolution;
- Promote the organization’s mission, vision and values to encourage top performance and high morale.

**Communicatio**n**
- Promote ongoing effective communication between clients, staff and providers across working groups, departments and organizations;
- Address more complex performance issues in consultation with the Director of Rehabilitation Services.

**Client Service Coordination**:

- Ensure high quality client services including managing bookings, wait lists, discharges and proper archive management and destruction;
- Act on patient enquiries and complaints regarding client services and ensure all issues are resolved.

**Finances**:

- Oversee and ensure all billing and invoicing is up to date and accurate, including private and third-party billing;
- Provide Director of Rehabilitation Services with monthly and quarterly reports on statistics, performance and revenue for all sites;
- Provide OPiH clients with required financial and statistical reports as requested;
- Oversee, approve and track all expenses, including purchase of office supplies, equipment and merchandise;
- Review and approve all invoices and ensure all vendors accounts are up to date.

**Essential Qualifications**
- Post-secondary degree preferably in health-related field or in a field of personnel management or demonstrated experience in a health-related field or in a field of personnel management or equivalent experience in a clinical setting;
- Proficient working knowledge of EMRs;
- Excellent written and oral communication skills in both French and English;
- Demonstrated experience in project management, including all aspects of process/project development and execution; managing complex, significant projects with the ability to create and oversee project timelines, staying on time, on budget;
