JOB SUMMARY:
Under the direction of the Director, Finance and Administration, this position manages the day-to-day operations of the DeGroote School of Business (DSB) building maintenance, renovation/construction, and space management activities. The manager participates in the development, recommendation, and administration of policies, procedures, and processes in support of the DeGroote School of Business facilities operations. The Manager, Facilities and Administration is also responsible for the leadership and day-to-day management and performance of the administrative support staff housed within the eight Academic Areas, ensuring Chairs and faculty members are properly supported in their teaching and research missions. This position responds to inquiries and requests for service from internal departments and supervises 4 support staff. The manager assists the Director, Finance & Administration with providing facilities and operational input on major/minor capital projects, new building design and on remodel-improvement projects, repairs & enhancements, including working closely with engineers and architects in the specification development stages of these projects. The Manager serves as the primary liaison with areas such as Facility Services, EOHSS, Parking & Security Services. The manager is responsible for the management of space, resolution of space related issues and problems, allocation of space, renovations/construction, and tracking of space usage.

PURPOSE AND KEY FUNCTIONS:

- Partner with the Director of Finance and Administration to identify strategic priorities and ensure the diverse space needs of stakeholder groups are considered and incorporated.
- Visit campus sites to stay abreast of campus renovation trends
- Arrange for purchases of furniture and equipment
- Negotiate pricing and contract terms with various vendors and suppliers
- Solve a variety of problems that arise related to DSB physical facilities
- Prepare contingency plans for recovering services and operations after incidents including, but not limited to, power blackouts, water damage or structural building failures and contribute to the planning and development of disaster recovery scenarios
- Manage annual operational and special project budgets
- Attend and participate in a variety of committees and working groups
- Work closely with EOHSS and Security and Parking Services to ensure the safety of occupants of DSB buildings.
- Liaise with Facility Services as the Faculty representative on renovation projects, maintenance and repair issues, landscaping requests, work orders, etc.
- Represent the Faculty as a stakeholder regarding facility and space planning projects; advise senior leadership regarding construction and renovation projects; prepare special analyses and reports related to long-range planning as appropriate.
- Tracks and reports on specific KPI’s related to human and physical resources in support of the Faculty’s strategic plan and AA
