About the Role

Prepares documents, spreadsheets, reports and presentations. Creates and/or maintains appropriate logs, databases, inventories, filing (hard or soft copy), status reports/tracking. May perform some research or data analysis tasks. Takes and delivers messages, provide information to callers, distribute and route mail, packages and paperwork. May schedule and coordinate meetings, business travel or other events.

Primary Responsibilities
- Support Program Manager in day to day management of programs
- Formulate techniques for data collection to ensure tracking review and acceptance of data
- Support the implementation of efficient procedures for data handling and analysis
- Execution based on rules and procedures for data sharing with team members, external stakeholders etc.
- Support others in the daily use of data systems and ensure adherence to legal and company standards
- Assist with reports and data extraction when needed
- Generate and maintain Customer Orders, Change Management transactions, and purchase requisitions, as required
- Generate requests for Quote from suppliers
- Attend daily status meetings
- Close out customer orders and set up warranty projects
- Manage and track material procurement (subcontracts) and flow
- Support program meetings including meeting documentation, Technical Progress Reviews with customers and tracking of minutes and action items
- Generate letter of transmittal for deliverables to customers
- Create, update and monitor major program data submittals such as SDRL’s, action item logs, etc.

Required Capabilities
- Understanding of configuration management processes
- Excellent interpersonal skills with an ability to handle multiple tasks and effectively balance priorities
- Ability to deal directly with internal and external customers
- Experience with Microsoft Office tools with emphasis on Word, Excel and MS Project
- Knowledge in formal documentation formatting, filing and tracking techniques
- Ability to organize and coordinate formal meetings - including the recording of minutes and action items
- Experience in shipping and waybill tracking is an asset
- Good communication and problem solving skills
- Detail oriented individual utilizing Product Data Management tools and performing the preparation of contract data item submittals
- Some experience or exposure to program management concepts such as schedules, budgets, and risks

Desired Education and Experiences
- Requires fully proficient job knowledge / skills.
- Post Secondary Diploma in Business Administration (or equivalent experience) with a minimum of 2 years prior related experience
- Relevant experience in the field of Product Data Management including experience with project and systems engineering techniques an asset.
- Manufacturing / Engineering process experience and / or technical background an asset
