Leasing Coordinator

Great opportunity to work with our fast growing sister company Y Property Management. We currently manage a diverse portfolio consisting of over 400 residential units from single homes to multi-residential buildings and over 100,000 sq.ft of commercial/retail space across Southwestern Ontario.
We are currently looking for an experienced and team-oriented individual to assist in the continued development and growth of our leasing department. As the leasing coordinator you will oversee the day-to-day operations of the leasing department to ensure our properties are leased, maintained and outstanding rents are minimized.
At Y Property Management our primary focus is to provide great service to all our clients.
Leasing Coordinator Responsibilities:
Ownership for the ‘front-end’ / client-facing aspect of the leasing process:
- Listing Coordination or Listing of Vacant units/spaces
- Organize/manage the advertising of all available units, including but not limited to
- Lead generation
- MLS
- Signage
- Social media (Facebook marketplace)
- Kijiji
- Communicating unit access, showings, with potential tenants or showing agents
- From time to time showing potential tenants any available units.
Preparing and Coordinating execution of lease and supporting documents
- Preparing leasing documents for tenants and landlords.
- Coordinating all signing, record keeping and delivery of executed documents.
- Collection of any pertinent information pertaining to the leased premises (Proof of insurance, Proof of utility registration, ID’s, Deposits)
Coordinating Move-In/Move-Out Procedures
- Prepare keys and schedule Move-in inspection with tenant
- Coordinate portal access (If applicable)
- Communicate move out procedures, inspections and turn over of tenancy with all departments.
Other Responsibilities:
- Providing comprehensive handoff to back-end processing (if applicable)
- Assisting with market evaluation for properties that are yet to be leased
- Assisting with the creation of pertinent marketing materials, brochure, information sheets (FAQs) and assets pertaining to each individual property and its units.
- Maintaining and updating tenant and landlord CRM within the management software
- Coordinating, collaborating, and developing marketing strategies to attract renters
- Inventory management
- Keep track of any upcoming occupancy dates, renewals and vacancies
- Ensure rates are at market rent to facilitate quick absorption
- Consult on / perform market research on rental rates, vacancy rates, etc.
Remote booking Concierge:
- Manages bookings and maximize revenue
- Have a general knowledge of all customers
- Organize daily/weekly check-ins with on-site staff to review check-ins/outs for the week, customer feedback, maintenance requests, stock/inventory status, reordering etc.
- Manage all bookings through various sites and the Sunnylea website
- Ensure information is correct on all sites
- Daily rental rate check of competitors and adjust when necessary
- Bank deposit/report deposits/payments
- Update revenue and budgeting sheet
- Upload receipts and fill out expenses sheet
- Forecasting on bookings
- Review all vendor contract/service invoices and submit for approval.
- Ensure guests have paid
- Ensure ads are up-to-date
- Manage and create promos with local venues
- Respond to Google/Facebook reviews
- Rate guests on various sites
- Report KPI’s to management team
- Send check-in/out reminders to customers
- Attend management meetings when required
- Submit payroll sheets from Maintenance Manager for approval and payment
**Job Type**: Fill-Time, Permanent
**Experience**:
- Property Management or related field such as Real Estate: 3-5 years (preferred)
**Requirements**:
- Vaild Driver’s License
- Mode of Transportation
**Salary**: From $40,000.00 per year
Schedule:
- 8 hour shift
Ability to commute/relocate:
- Kitchener, ON: reliably commute or plan to relocate before starting work (required)
