This position is responsible for assisting with planning, organizing, and coordinating operations related to new and ongoing projects across the MH-HIS Cluster. Reporting to the MH-HIS Cluster Director, the project coordinator role coordinates and monitors organizational projects to ensure they are running as planned. This includes maintaining positive and productive relationships with managers as well as clinical and administrative teams. This position is responsible for leading project teams throughout a project lifecycle - from problem identification, through planning, implementation, monitoring, sustainability and transition to operations. This individual will be involved in all aspects of the project, and will work with a diverse stakeholder group. Using initiative and problem-solving, they will be able to address issues and risks proactively. This individual will have exceptional interpersonal and organizational skills and excel in a fast-paced environment.
**KEY DUTIES AND RESPONSIBILITIES**:
Develop project materials for each client engagement including, and not limited to: charters, project management plans, project schedules, change requests, status reports, and communication plans other materials, as required.
- Plan meetings and organize project timelines, logistics, milestones and track project deliverables using appropriate tools and software.
- Assist in the onboarding, coordination, and archiving of projects, including use of various document management and collaboration platforms.
- Manage project plans to ensure projects are delivered on time/on budget and in scope.
- Work closely with other departments and stakeholders to set deadlines, assign responsibilities, monitor and summarize progress of projects and prepare status reports
- Liaising regularly with users to provide project status, manage expectations and concerns proactively
- Develops and manages communication(s) and other initiatives that will advance project goals and objectives, ensuring appropriate mechanisms are in place to effectively monitor and evaluate project activities, etc.;
- Offers training/mentoring and builds capacity for project and related staff to enhance their understanding of project initiatives, as required.
- Makes recommendations to Project Leads to support decision-making
- Consults with the Project Manager/Director on issues that will have an impact on work activities.
- Works with Directors of the portfolio to discuss, as appropriate and/or share analysis to ensure outcomes are met
- Regular effective communication with project teams to ensure that projects are scoped and monitored appropriately, including deliverables, timelines, and resources
- Maintaining project documentation including the creation, deployment and maintenance of the project lessons learned archive
- Coordinate the development, deployment, support, and continuous improvement of key departmental and/or organizational procedures and practice standards.
- Monitor and report on the daily progress of projects.
- Performs all work at all times in compliance with all hospital policies and procedures and legislation (Occupational Health &Safety Act, Fire Code, WHMIS, etc.) relevant to health and safety, security (including relational/therapeutic security) and potential risk hazards, and in particular, “duties of the worker” as defined in Section 28 of the OH&S Act.

**QUALIFICATIONS**:
- Post-Secondary education in clinical and/or health sciences and/or informatics field is required
- Minimum of two years project coordination/management experience required, preferably in a health care or social services setting
- Well-developed analytical, problem-solving, organizational and communications skills
- Ability to actively demonstrate role competencies and leadership
- Able to function well within a team setting and independently.
- Demonstrated ability to work with multiple project timelines and provide follow up assistance to ensure deadlines are met
- Computer literate, including solid working knowledge of Microsoft Outlook, Word, Excel, Access, Project, PowerPoint, DevOps, PowerBI, project management software
- Proven good attendance record with capabilities of maintaining this same standard
- Demonstrates professionalism, leadership and communication and interpersonal skills when interacting with all levels of the organization and stakeholder groups
