**Job Title: Warranty Administrator & Office Coordinator**

**Position Summary**:
**Key Responsibilities**
**Warranty Administration**:
- Accurately prepare, submit, and track all warranty claims to manufacturers and suppliers in a timely manner.
- Input & review work orders, service reports, and parts invoices to ensure claims meet warranty requirements.
- Follow up on outstanding or denied claims and resolve discrepancies.
- Maintain up-to-date knowledge of warranty policies, procedures, and coverage for multiple RV manufacturers.
- Liaise with service technicians to gather necessary documentation or clarify repair information.
- Keep detailed records of all warranty transactions and manufacturer communications.
- Monitor warranty claim aging reports and ensure timely payments are received.
- Record payments accurately and ensure accurate record keeping.
**Reception Duties**:
- Greet walk-in customers and direct them to the appropriate department or personnel.
- Answer and direct incoming phone calls in a professional and courteous manner.
- Respond to general inquiries about dealership services and inventory.
- Assist with appointment scheduling and customer follow-ups as needed.
**Sales Support**:
- Assist sales staff by showing RVs to potential customers on the lot when sales team members are unavailable.
- Provide basic product information and a positive customer experience during these interactions.
- Communicate customer interest or questions to the sales team for follow-up.
**Data Entry & Filing**:
- Maintain accurate and complete sales files, including customer information, purchase agreements, and supporting documentation, when required.
- Perform regular audits of sales files to ensure compliance with internal policies and regulatory requirements.
- File and organize documents both physically and digitally to maintain an efficient records system.
- Enter data into dealership management systems with accuracy and attention to detail.
**Qualifications**:
- Previous experience in warranty administration (automotive, RV, or related industry preferred).
- Strong administrative and organizational skills.
- Excellent attention to detail and time management abilities.
- Professional and courteous communication skills (verbal and written).
- Comfortable working both independently and as part of a team.
- Proficient with Microsoft Office Suite and dealership software (e.g., DMS systems).
- Ability to walk RV yard and safely show units to customers, as needed.
**Working Conditions**:
- Office-based with some outdoor activity required when showing RVs.
- Regular business hours, with occasional need for flexibility based on dealership needs.
**Benefits**:
- Available after 3 month probation period
Pay: $27.00-$34.00 per hour
Expected hours: 37.5 per week
