**About Us**: Onyx-Fire Protection Services Inc., a leader in the Canadian fire protection service industry, is expanding and seeking a dedicated Sales Coordinator to support our sales, projects and account management teams. We pride ourselves on delivering exceptional preventative maintenance and project services to safeguard our clients’ people and properties.
**Responsibilities**:
- Provide administrative support for all sales and account management processes.
- Prepare proposals, reports, and ad hoc documents.
- Collaborate with sales representatives and account managers to provide administrative assistance.
- Liaise with Accounting, Estimating, and Operations teams.
- Utilize proprietary business software for processing and document management (training provided).
**Additional Responsibilities**:
- Accurately set up accounts.
- Ensure accuracy in quotes and orders.
- Set up project billing types (progress, advance, completion).
- Manage parts cost sheets, including tracking parts, purchase orders (POs), and costs.
- Complete work order auditing.
- Resolve credit issues.
- Process invoices.
- Issue POs to vendors.
- Collect and submit expenses and receipts.
**Qualifications**:
- High school diploma or equivalent.
- Intermediate to advanced proficiency in MS Office products.
- Excellent verbal and written communication skills.
- Strong typing and data entry skills.
- Proven team player with the ability to thrive in a fast-paced environment.
- Strong understanding and commitment to confidentiality requirements.
- Exceptional attention to detail and organizational skills.
- Positive, solutions-oriented attitude.
