Assistant Property Manager

O'Shanter Development is currently seeking a full-time _Assistant Property Manager_ to start _immediately_,_ who is responsible to provide administrative assistance to residents, contractors, guests/external stakeholders, other offices/departments within O’Shanter i.e Property Managers & Director of Property Management, and the site staff.

**As an Assistant Property Manager you will be responsible for**:
**A. Brentwood Towers (17-25 Lascelles Blvd) and 42 Glen Elm**
- Respond to questions, issues, complaints, requests, etc. of residents, guests, contractors, and other stakeholders by handling them directly or redirecting them to the Building Manager, Property Manager, Director of Property Management or other appropriate O’Shanter staff
- Manage the allocation/assignment of parking spots in the complex/building by providing available spots for the leasing coordinator to rent, completing/processing parking addendum & cancellation, updating the database on a regular basis
- Handle the programming, assigning, documenting, issuance of fobs/remote door openers
- Take care of the preparation of Welcome Package/Binder and other documents and materials for new tenants i.e laundry card, recycling bags, kitchen catchers, etc.
- Handle documents/packages/materials that come in or go out to/from the Management Office
- Coordinate parking ticket complaints by residents with parking control company
- Write up notices as required for minor routine and emergency repairs or work
- Review security reports and advise Building Managers, accordingly
- Handle purchase of office supplies and maintenance of office equipment
- Facilitate or assist in the use of the amenity room by the Tenants’ Association or O’Shanter
- Other related tasks that may be assigned by Management from time to time
**B. All Buildings of O’Shanter**
- Respond to questions, issues, complaints, requests, etc. of residents, guests, contractors, and other stakeholders by handling them directly or redirecting them to the appropriate person
- Provide documents or information required by site staff or by tenants in regard to their tenancy i.e Tenant ledger, Tax Receipt, AGI letters, NORI, Tax Reduction Letter, etc.
- Send collection letters to tenants with outstanding balances in their account and letters to update LMR
- Code all invoices and pass them on to Property Managers for approval/their signature
- Print and send copies of templates, forms, standard notices or documents as required by site staff
- Process material request, cleaning supplies request, etc. submitted by site staff; Handle purchase of office supplies and coordinate repair of office equipment
- Review the time sheets submitted by all staff and submit to HR
- Upload or update shared files that she/he is responsible for, on a periodic basis
- Prepare and send Purchase Orders for Pest Control; coordinate schedule with service providers, advise the site staff and send them copies of protocol/s;
- Coordinate the distribution of Inspection Forms and other administrative documents
- Send required reports to partners i.e Rogers, BELL, Wyse, Enercare, Tenants’ Associations, etc.
- Assist in the processing of work requests as advised by Property Managers/Director of Property Management
- Other related tasks for all buildings that may be assigned by Management from time to time
QUALIFICATIONS:
- At least 3 years experience in Apartment Building Management, as Property Administrator or Asst Prop Manager
- Sufficient Experience with Yardi
- Adequate knowledge of the Residential Tenancies Act
- Strong administrative, communication, and Computer (Microsoft) skills
