**Job Title: Volunteer Coordinator & Admin Assistant (Part-Time or Full-Time)**
Store: Thrift & Fund by Low Entropy Foundation
Location: #408 - 552 Clarke Rd, Coquitlam, BC (Hybrid: 3 days in store, 2 days remote)
Hourly Wage: $17/hour
Employment Type: Part-Time or Full-Time (25 hours to 37.5 hours per week)
Term: 6-month Contract, possibility of extension
Schedule: Monday to Friday
**Summary**:We are seeking a highly organized and motivated individual to join our team as a Volunteer Coordinator & Admin Assistant on a part-time (min 25 hours per week) or full-time (37.5 hours per week) basis. This position requires 3 days per week in our thrift store and 2 days a week remote.
**Responsibilities**:
**Volunteer Coordination**:
- Recruit volunteers by attending volunteer fairs and outreach events, as well as posting our volunteer listings across various online websites and channels.
- Onboard volunteers, ensuring all paperwork, orientation, training, and criminal record checks are completed, where applicable.
- Coordinate volunteer schedules and assignments, ensuring adequate coverage for the thrift store, programs, and events.
- Build positive relationships with volunteers, providing ongoing support, recognition, and feedback.
- Maintain our volunteer database to ensure accurate information and an up to date list of volunteers.
- Liaise with staff members to assess volunteer needs, integrate volunteers into organizational projects and initiatives, and conduct volunteer performance management when necessary.
- Offboard volunteers to ensure a pleasant exit experience and gather feedback and testimonials.
- Create and distribute regular communications to volunteers, keeping them informed about upcoming opportunities, events, and organizational updates.
**Administrative Support**:
- Support the Co-Executive Director, Ness Gale, with general administrative duties related to the operations of the organization and the thrift store. This includes scheduling meetings, correspondence, purchasing supplies, and attending special events.
- Support the Thrift & Fund Store Manager with making purchases and organizing the store.
- Provide support related to HR duties such as maintaining HR files, job postings, hiring forms/contracts.
- Prepare agendas, take minutes, and distribute meeting materials where necessary.
- Organize and maintain electronic files as well as assist in preparation and formatting of reports, presentations, and other materials.
- Support the implementation of special projects or initiatives led by the Co-Executive Director.
- Conduct research on various topics to support decision-making and strategic planning; compile and analyze.
- Collaborate with other staff members and departments to facilitate effective communication and coordination of activities.
**Other**
- Provide coverage as a Sales Associate in the thrift store when needed, such as lunch break coverage or meeting coverage.
**Qualifications**:
- Previous volunteer coordination and administrative experience
- Passion for non-profit community work
- Excellent organizational and time management skills
- Strong written and verbal communication skills (needed to interview, assess, and build positive relationships with volunteers)
- Proficient with Google Workspace apps, or equivalent
- Ability to work independently and collaboratively in a fast-paced environment (many projects and priorities competing for attention)
- Available to work Monday through Friday during the day (8:00am-4:00pm if full-time)
- Some weeknight and weekend availability when needed (special events)
- Must have access to a personal laptop to perform job duties
- Preferable to have a driver's license and access to a reliable vehicle
