**How will this role support our team?**
The incumbent will lead the day-to-day operations of the Registration Department’s licensing requirements (status changes, annual renewal, ongoing compliance obligations). This includes database management, data analysis and reporting and compliance.
**Responsibilities Include (but are not limited to)**
- Supervise and coordinate licensee status changes, including leaves of absence, resignations, suspensions and revocations.
- Review and revise the annual renewal forms/fields, and all related instructions and communications.
- Monitor the annual renewal process from start to finish. Provide troubleshooting and technical assistance to licensees (e.g., with issues uploading declarations).
- Issue warning letters to licensees who fail to comply with renewal requirements.
- Prepare reporting and analysis for internal and external stakeholders (e.g., status changes, KPIs, collections reporting for finance).
- Contribute to the development of new processes.
- Monitor and maintain the integrity and accuracy of data in the College’s registration databases (e.g., investigate/remove duplicate profiles, correct formatting errors).
- Coordinate with and report to other departments on issues related to status changes and compliance monitoring (e.g., Registrar caution, Discipline Committee).
- Review status change requests from licensees, compile reviewed requests for Registrar approval and finalize status changes on the Public Register.
- Consolidate annual renewal date for reporting and compliance of licensees.
- Implement and test each annual renewal process in the applicable database.
- Supervise and coordinate the annual renewal process for licensees.
**This role will support our team by providing**
- **Organizational skills to ensure timely communication with team members
- Interpersonal skills and stakeholder relationship management skills to present information, teach, resolve escalated cases and engage in conflict resolution
- Attention to detail to review and re-review sensitive documents
- Project management skills to plan, evaluate, and implement changes to systems and processes
- Knowledge of office/administrative software, relational databases, database programming languages, spreadsheets, and advanced spreadsheet functionality (pivot tables, Power Query)
- Coaching and management skills to inspire, motivate and develop employees and team members
- Written and verbal communication skills to communicate with a variety of stakeholders on topics related to the annual renewal process
- Flexibility to work in a fast-paced changing environment as a collaborative team player who demonstrates initiative
- Time management and prioritization skills to manage scheduling, timelines/deadlines and know when to request additional resources
**Required Education and Experience**
- College Diploma in business administration or the equivalent education and work experience
- Knowledge of professional regulation, including best practice in policies and processes, and ability to acquire knowledge specific to the regulation of the Canadian immigration sector, including the College Act as well as the College’s By-Laws, regulations, and strategic priorities
- Knowledge of process optimization, project management and the principles of right-touch regulation
