Job Summary
The Foster Coordinator under the direction of the Assistant Manager, Community Sheltering, will be responsible for regular Foster Agent duties including coordinating and overseeing the administration of all foster cases and maintaining a strong positive and communicative relationship with foster parents. The Foster Coordinator will ensure all foster parents are up-to-date on training at all times, attend all medical appointments as scheduled, and are provided with any required food, medications etc. for their foster animal. In addition, the Foster Coordinator will be responsible for foster program administration, patient case management and volunteer administration as well as act as second in command for decision making in the absence of the Assistant Manager.
Job Duties
1. Coordinate the placement of animals in need of fostering with appropriate Foster Parent
- Use shelter management software to maintain accurate foster records on all animals within the foster program
- Promote animals in need of foster
- Ensure placement of animals in need of foster in appropriate homes matching their specific needs
- Maintain an up-to-date list of animals needing foster as well as foster homes available
2. Provide assistance and support to Foster Parents
- Serve as contact for all Foster Parents, providing ongoing assistance, coaching, and moral support to Foster families
- Greet Foster Parents coming in for medical and behaviour appointments
- Work collaboratively with Assistant Manager to schedule training and maintain relationships with Foster Parents
- Thank Foster Parents and show appreciation as appropriate
- Handle escalated issues from other Foster Agents
3. Ensure the health and wellbeing of animals in foster care
- Monitors health and behavior of animals in foster care and reports findings to Veterinarian and/or Training Teams
- Schedule/manage foster cases so animals receive appropriate and timely medical and behaviour care and treatment Schedules foster appointments via shelter management software and any affiliated databases
4. Assist in the development of emerging Foster Streams
- Work alongside Assistant Manager to develop program proposals, documents and protocols
- Act as resource for any questions about new streams administration
- Lead implementation of emerging foster streams including administration, training and monitoring of said programs.
- Prepare reports and maintain appropriate records
5. Work alongside Volunteer Services to build and maintain a database of potential Foster Parents
- Recruit, screen and select Foster Parent applicants
- Provide orientation and training to Foster Parents
- Maintain database of current, past and potential Foster Parents
6. Develop, coordinate, schedule and lead foster care training sessions; develop training manuals and related training materials
7. Coordinate with other departments with the Society
- Attend daily rounds meetings in order to share information about upcoming Foster appointments with other shelter departments and to gather information about the current workload of the other departments as well as communicate foster resource availability
- Advise other departments on Foster Department policies, procedures and protocols
8. Provide administrative and other support to the Foster Department
- Coordinate the movement of animals into and out of the foster care systems
- Prepare all supplies needed to go out with Foster animals as well as pickups for animals currently on Foster
- Manage and monitor supplies needed for Foster Department and place stock orders through Toronto Humane Society inventory control systems Attend and participate in workshops, seminars, and in-service training to further education, skills, and training.
- Train, mentor, and act as a resource for Foster Agents and foster volunteers.
9. Be aware of and work within the regulations of all Toronto Humane Society policies and protocols
10. Work in compliance with the provisions of the OHSA and its regulations, including understanding and adhering to the requirements of the Health and Safety Manual, and any other rules and regulations established by the Toronto Humane Society
11. Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society
12. Other Duties as required in the day-to-day operation of the Society
Job Requirements
- 2+ years of experience, or equivalent, in foster program administration with demonstrated knowledge in current best practices
- Experience in the social service sector or familiarity with Urgent Foster Care program an asset
- A clear and solid understanding of the issues faced by the organization and the industry
- Ability to handle multiple tasks and work in a fast-paced environment under sometimes tight deadlines.
