We are currently looking for an **Assistant, Corporate Services** in our head office located in **Montreal**, **Quebec**.In this role, you will assist in the supervision of the day-to-day operations. You will be responsible for handling office and building requests, maintain inventory, replace the receptionist, assist with external events, and other administrative duties.
**WHAT YOU'LL BE DOING | THE ROLE**
**Administrative services**:
- Handle banking deposits and cash pick-ups.
- Receive and deliver mail, deliveries, courier, and newspapers.
- Coordinate annual archive file destruction.
- Assist with tracking packages and resolving customs issues.
- Maintain coffee machines and replenish stock.
**Office and building service requests**:
- Coordinate office services portion of new employee onboarding.
- Negotiate rates with suppliers.
- Assist with moving office furniture, equipment, and boxes.
- Liaise with building maintenance and cleaning staff for office repair/cleaning needs.
**Inventory management**:
- Order and stock supplies for kitchens and office.
- Order and stock archive boxes.
- Receive and stock promotional items for Marketing.
**External events and other**:
- Participate to events by delivering and setting up equipment and supplies.
- Serve as back up for main Reception - 10% of the time.
- Serve as back up driver for company limousine.
- Clean the lunch area and other, as needed.
- Assist with projects and process improvement as required.
**WHAT YOU BRING | THE PERSON**
- A minimum of 3 years’ experience in a similar role in mailroom, customer service, hospitality, or facilities environment.
- Excellent oral and written communication skills in both English and French.
- Proficiency with MS Office suite, Acrobat Reader, including table creation, mail merges and basic formatting.
- A friendly, polite, customer-service oriented, and professional manner.
- High collaboration and a team player approach.
- Ability to work well with mínimal supervision.
- Problem-solving and multitasking abilities.
- Ability to lift up to 25 pounds.
- A valid driver’s license is required.
