Reporting to the Associate Vice President Research and Graduate Studies Administration (AVP), this position is responsible for managing the administrative research and graduate studies operations for NOSM University.
Aligning with the strategic goals of the University, this involves responsibility for pre and post award sponsored research funding administration, related certification supports, operation of the research laboratories and oversight for the administrative operations for graduate studies. This position will work closely with the Assistant Deans Research and Graduate Studies and supervise the day-to-day operations of the Research Services Office and Graduate Studies Office.
**Responsibilities**:
Tasks may include but are not limited to the following:
**Leadership & Supervision**
- Directs and supervises the work of research services and graduate studies staff members including providing feedback, coaching and performance management; providing leadership on coordinated workplans and workflow aligned with strategic and operational cycles.
- Contributes as an active member of the Research Portfolio leadership team in reviewing and implementing the University’s strategic and operational goals.
- Develops and implements operational plans for the Offices that align with University goals.
- Apprises and briefs the AVP on research services and graduate studies matters that have institutional, operational or relationship implications.
**Research Services & Graduate Studies Management**
- Oversees the day-to-day operations for pre-award supports, including promoting funding opportunities, facilitating research proposal preparation and submission, as well as post-award supports, including compliance and reporting.
- Oversees the day-to-day operations of research laboratories, including development and regular review of standard operating procedures, budget alignment and liaising with lab researchers.
- Ensures that research administration supports adheres to federal, provincial, or sponsored funders requirements.
- Ensures certification pathways for researchers (Research Ethics Board, Animal Care, Biosafety) and compliance.
- Manages the design and delivery of training programs and communication materials for research services.
- Responsible for ensuring data management, open access and research security supports are available.
- Working with faculty researchers and serving as a resource in support of their research programs.
- Oversees the day-to-day operations for graduate studies programs, including development and regular review of policies and standard operating procedures, as well as budget alignment.
- Ensuring that the administrative standards for graduate studies programs’ quality assurance are maintained.
- Drafts and revises related policies and standard operating procedures and contributes to the review of institutional policies and procedures that have a direct impact on the functioning of research and graduate studies administration.
- Provides leadership and participates in the implementation or migration of software systems.
- Liaises with other NOSM University Offices/Units/Portfolios to ensure consistent and meaningful communication on key issues that affect the functioning of research services and graduate studies.
- Works closely with Administrative Units to support research administration (i.e. Finance, HR, Risk), as well as the Registrar’s Office and Learner Support Services for graduate studies.
- Maintains relationships with hospital and community-based organizations across Northern Ontario, and at partner universities in the province, in support of research and graduate studies.
- Represents the Offices at committee and working group meetings as required.
- Manages special projects and/or strategic initiatives as required.
**Fiscal & Reporting**
- Monitors delegated budgets, ensures fiscal responsibility for all delegated expenditures, and submits required reports. Provides recommendations to the AVP on allocations and efficiencies as part of the portfolio budget planning cycles.
- Ensures adherence to sponsored funding requirements, including the Tri-Agency guide on financial administration, and compliance with University policies.
- Prepares reports, including the submission of metrics to AFMC, COFM, CAUBO and Statistics Canada. Ensures tracking of data for reporting and for quality improvement.
- Development and reporting of key performance metrics for the strategic plan and interfacing with the Data Stewardship Office.
- Performs other duties as assigned.

- A Master’s Degree in a health discipline, business and/or health care administration from a recognized university with Canadian accreditation is required.
