The company is in an active growth phase, expanding its distribution network and operational footprint as demand for high-performance heat pump systems increases across Canada. This growth requires strong internal coordination across logistics, warehousing, and customer support — and the Operations Coordinator plays a central role in making that happen.

**Job Overview**

We are seeking a highly organized and detail-oriented **Operations Coordinator** to join our team. This role sits at the center of the business and supports day-to-day operations including administration, logistics coordination, and customer support.

**Key** **Responsibilities**

**Operations & Logistics**
- Coordinate equipment orders, shipments, and deliveries with manufacturers, freight carriers, and customers
- Own warehouse organization, including receiving, inventory layout, staging, and coordination of outbound shipments to support efficient operations.
- Track order status, shipping timelines, and delivery confirmations
- Resolve logistics issues such as delayed shipments, missing items, or delivery changes
- Maintain accurate order, shipping, and inventory-related records
- Safely operate a propane forklift as part of shipping, receiving, and warehouse operations

**Administrative & Systems Support**
- Manage data entry and maintain accurate records using QuickBooks, Microsoft Office, and our custom ordering systems
- Support sales and operations with order entry, confirmations, documentation, and follow-up
- Assist with basic bookkeeping activities and financial record keeping
- Maintain organized digital filing systems and operational documentation

**Customer & Internal Support**
- Act as a point of contact between customers, suppliers, freight carriers and internal team members
- Collaborate with the team to identify inefficiencies and improve office procedures and workflows

**Qualifications**
- Proven experience in office administration, operations coordination, logistics coordination, warehouse operations or similar roles
- Strong proficiency with QuickBooks, Microsoft Office (Word, Excel, Outlook, Teams)
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment
- High attention to detail and accuracy in data entry, documentation, and record keeping
- Ability to work independently, take initiative, and follow tasks through to completion
- Experience in HVAC, construction, wholesale distribution, or technical products is an asset but not required
- Prior bookkeeping or financial administration experience is preferred
- Forklift experience or willingness to obtain certification (training provided)

Pay: Up to $60,000.00 per year
