The **Program Administrator** is an office-based role focused on store fixture/ architectural millwork programs for our clients reporting to the Program Manager. As a visible hands-on and involved member of the Programs Team, the Program Administrator will be responsible for the smooth setup and maintenance of project administration, interacting with various departments to ensure project milestones are on track and completed in accordance with client expectations and Archmill processes.
**YOUR RESPONSIBILITIES**:
**CLIENT/PROJECT SETUP**
- Set up and maintain job files within our AOS system
- Receives list of samples from PM and processes requests through to approval in accordance with Sample Process
- Issues drawings and drawing packages for quotes from vendors.
- Conduct fixture take-offs and preparing proposals for established Program projects ready to issue to Clients
- Flag and addressing any client purchase orders containing requiring clarification or containing errors
- Processing and alerting any changes to all parties involved
- Providing required documents to clients and general contractors as requested (Certificate of Insurance, WSIB & Form 1000)

PROJECT EXECUTION / CLOSEOUT*
- Track all work to ensure adherence to program schedules, making critical adjustments where required to ensure timely delivery
- Collaborate with Production Manager and other disciplines leads within a program team regarding program production to ensure accuracy in meeting client specifications, requirements, budget and timeframe
- Monitors Sales Orders and Full Kit milestone dates per the PM request including changing qty’s or CDD dates.
- Issues PO’s to suppliers as instructed
- Communicate effectively with all team members to ensure understanding of responsibilities and accountabilities and provide assistance when needed on technical questions or issues
- Sends closeout paperwork as provided/requested
- Arranges delivery of Service Items as requested
- Schedules service calls as directed by PM

YOUR SKILLS & EXPERIENCE*:
- Outgoing personality with excellent organizational, communication (both written and verbal) and interpersonal skills
- Ability to work independently as well as in a team environment
- Proficient in MS Office and Adobe
- Ability to read and comment on CAD drawings and technical documents
- Experience in Project Management, Construction or Manufacturing fields
- Adaptable to changing priorities and procedures.
- Self-motivated, strong analytical skills and detail-oriented
- Strong mathematical skills as applicable to this position
- Possess the following personal qualities: integrity, creativity, high standards, commitment, ethical values and achievement oriented
