Centre Manager

**About the Clinic**:
Sea To Tree Health & Wellness offers accessible clinical counselling, coaching, and wellness services in Sooke, the Westshore, and online. Our model allows us to offer low-cost programs enabling us to support the community by mitigating financial barriers to counselling

**Position Overview**:
We are seeking a highly organized and proactive Centre Manager to oversee and coordinate operational and administrative projects at our clinic. This role requires a detail-oriented professional with strong leadership skills. As the primary point of contact for staff and contractors, the Centre Manager plays a key role in the daily operations of the clinic by ensuring smooth, efficient, and professional functioning of all administrative processes.

**Working Conditions**:
As an integral part of a collaborative team, this position expects responsiveness when required but otherwise offers autonomy with remote work and flexible hours. Weekday availability during standard business hours is essential.

**What You’ll Do**:
**Administrative Operations**:

- Oversee day-to-day clinic operations managing the team and client referrals
- Troubleshoot technical issues with client management software (Jane)
- Maintain and update policies, procedures, and operational manuals
- Monthly statistical data entry as it relates to intake & client flow
- Weekly site visits to both locations (Sooke & Colwood)

**Program Management**:

- Plan, execute, and manage various centre programs, including workflow optimization, technology implementation, and community initiatives.
- Monitor and report on program status, risks, and issues to the owner.

**Team Coordination**:

- Training and support onboarding of new clinicians and interns/students including Human Resources tasks
- Manage new inquiries and referrals, connecting clinicians with potential clients and managing waitlisted clients
- Serve as a liaison between the team members and owner

**Business Development**:

- Overseeing social media, graphic design and newsletter content
- Maintain and develop relationships with existing and new referral sources

**What You’ll Need**:

- Education / experience in office administration and management
- Familiarity with healthcare and or mental health setting is an asset
- Well developed managerial skills as well as Human Resource experience
- Strong organizational, problem solving and time-management skills
- Excellent interpersonal, written and verbal communication skills
- Proficiency in Jane Practice Management software, Google Workspace
- Demonstrated discretion and sensitivity when dealing with confidential information (Criminal record check with vulnerable sector)
- Ability to work independently and collaboratively in a small team setting
- Understanding of privacy laws and regulations (e.g., PHIPA, PIPEDA)

**To Apply**:
Pay: From $30.00 per hour

Expected hours: 30 - 40 per week
