Reporting to the Foreman, the Foreman Assistant is responsible for providing administrative support and ensuring comprehensive follow-up on various tasks and files. In a fast-paced, dynamic environment, the Foreman Assistant must be both organized and detail-oriented, while working efficiently and with a sense of urgency.
**Main Responsibilities**:
- Process and manage work orders (opening, data entry, closing, etc.).
- Follow up on parts orders.
- Handle follow-ups on warranty-related documents.
- Manage subcontracting files (from creating POs to processing invoices).
- Prepare quotes in accordance with the Foreman’s instructions.
- Inform customers of any damage and the associated repair costs.
- Offer support to other assistants during the Foreman’s absence.
- Perform any other related tasks.
**Experience and desired skills**:
- Approximately 1 to 2 years of experience in a similar role.
- Strong knowledge of the Microsoft Office Suite (Windows, Excel, and PowerPoint).
- Basic mechanical knowledge is an asset.
- Strong proficiency in spoken and written French and English.
- Attention to detail and precision.
- Excellent organizational skills and attention to structure.
- Ability to work under pressure and maintain focus in a fast-paced environment.
- Ability to execute tasks quickly and efficiently.
