Ap/ar Clerk

The Accounts Payable /Receivable Clerk Administrator manages and maintains in an organized and confidential manner all vendor files, performs accounts payable data entries and processing payments to vendors in a timely fashion. Receivable is to administer all aspects of the account receivable transactions for the Company (and related companies), in a responsible manner, including but not limited to invoicing, collection, bank deposit and bank account reconciliation. All in keeping with the Company’s values, principles and beliefs.

Prepare and issue invoicing to clients (T&M, progress billing and lump sum invoices); perform related data entry in accounting system

Issue monthly account statement to each client.

Perform weekly account receivable collection calls and record content of calls in client file.

Meet with Accounting Manager and Senior Management team at least monthly to review status of AR collection.

Receive client payments, prepare, and perform bank deposits, and make proper journal entries in accounting software.

Make bank deposits daily when deposits are more than $2,000.

Immediately escalate any potential uncollectable or difficult to collect accounts to the Project Manager, Operations Manager and Controller.

Prepare and issue collection letters.

Immediately escalate client complaints to the Project Manager and Operations Manager responsible for the client’s account.

Maintain professional relationship with clients by being polite and courteous and keeping all clients account information confidential

Ensure packing/delivery slips are date stamped when received;
Ensure packing/delivery slips have been verified against delivered quantity and signed off by appropriate personnel;
Processing data entry for receiving of inventory;
Ensure invoices, rental contracts and other accounts payable documents are:
a. Date stamped when received;
b. Cost Code stamped;
c. Coded and approved by the appropriate authorized personnel.

Match incoming invoices with packing/delivery slips and purchase orders;
Verify calculation of invoices prior to entering invoices amount in the accounting system;
Enter invoices in accounting system against proper receiving document and/or purchase order;
