Regina Training Centre Administrator

Brandt Group of Companies is currently seeking a Regina Training Centre Administrator located in Regina, SK. As the Regina Training Centre Administrator, you are part of a team dedicated to delivering an outstanding customer experience for employees, customers, and other visitors to Brandt's Regina Training Centre (RTC).
DUTIES & RESPONSIBILITIES
- Work with the RTC Manager and others (e.g. Corporate Training, Executive Services) on scheduling training and events.
- Work with the RTC Manager to ensure facility is able to host groups and events.
- Work with the RTC Manager and in collaboration with others (e.g. trainers, corporate training staff, etc.) to work out logistics for events at the RTC and other training venues.
- Support the RTC Manager in training scheduling, logistics, and as required reporting.
**MAJOR ACCOUNTABILITIES**
**_ Event Planning Support_**
- Work with the Regina Training Centre (RTC) Manager and others (Corporate Training, Marketing, Executive Services, Management, etc.) on planning RTC events including employee training, customer fly-ins, product reviews, marketing events and photo shoots, manufactured products dealer training, and sales meetings.
- Collaborate with Brandt Travel and others as required to plan and arrange travel (i.e. air, ground, and hotel) for those attending events at the RTC and other locations as required (e.g. arranging travel for technician training at branches).
- Plan and organize event support including catering, badges, sign in, materials printing, audiovisual equipment (e.g. microphones, headsets), and materials distribution.
- Assist the RTC manager in developing event costing and budgets for example by contacting vendors and gathering quotes.
- Contact stakeholders and participants to assist with planning.
- Be an active contributor to event planning by providing expertise and ideas, and identifying potential issues and conflicts.
**_Event Scheduling Support_**
- Work with the RTC Manager and Executive Services to ensure the effective and efficient use of the RTC for example by monitoring and reporting on utilization.
- Send Outlook invites with agendas, event details, and monitor responses.
- Ensure the RTC calendar is accurate and complete by routinely publishing, updating and adjusting it as required.
- Work with the RTC Manager to adjust the schedule to accommodate emerging priorities.
- Advise stakeholders and participants of schedule changes in a timely manner.
- Assist the RTC manager in scheduling vendors (e.g. catering, audiovisual support) for events.
- Issue purchase orders and ensure vendors are aware of Brandt's accounts payable requirements.
- Help ensure that other activities such as deliveries, maintenance, and cleaning do not disrupt events.
**_Event Implementation Support_**
- Develop and communicate event details for example parking maps, agendas,
- Work with others to ensure communications and materials meet current corporate brand guidelines.
- Greet visitors and, when requested, facilitate tours of the RTC and other Brandt Regina locations.
- Ensure training and event spaces are ready for example by confirming logistics, confirming required technology is available, and confirming participant lists.
- Assist the RTC Manager in ensuring events proceed as planned for example by monitoring attendance, ensuring vendors are following the schedule and meeting their deliverables, presenters and trainers are running on time, etc.
- Assist in event teardown by helping coordinate material, furnishing and machine movement, and people.
- Utilize various corporate systems and equipment in implementing events e.g. Surface Hubs, conferencing software, multimedia systems, etc.
- Help troubleshoot any problems as they arise (e.g. no shows, timing problems, connection problems, delivery delays, etc.).
**_Event Follow Up Support_**
- Reconcile invoices and purchase orders.
- Distribute and compile event surveys as required.
- Distribute other post-event communications and information.
- Ensure RTC is restored to order following all events (e.g. by arranging for pick up of event furnishings, disposal of materials, arranging cleaning, etc.).
**_Other_**
- Support continuous improvement by acting on feedback and incorporating best practices like LEAN into planning, scheduling and implementing events.
- Work with RTC manager to ensure the Centre is maintained to a high standard, for example by ensuring Brandt Developments is promptly contacted to correct any facility problems.
- Be the point of contact for first aid supplies and services.
- Provide basic onsite technical support by escalating problems to IT and others for resolution.
- Maintain an up-to-date catalogue of permanent Training Centre assets including computers, displays, etc.
