**Job Description**:
As the Operations Specialist, you will manage the client-specific governance tasks for our client within the Finance and Banking industry. This role requires collaboration with multiple team members, strong organization skills and the confidence to speak to clients on a regular basis. The role also requires you to play a key role in team culture by generating team surveys and facilitating event planning. This position maintains a level of autonomy but will be reporting to and working closely with the Team & Client Operations Manager.

**Responsibilities**
- Client Deliverables:

- Work with all discipline leads to produce and present monthly client deliverables: Monthly Governance, SLA (Service Level Agreement) tracking, Full Media Calendar (includes commentary for month over month changes), Monthly Escalation Logs, Monthly Agency Hours Report, QBRs (Quarterly Business Reviews), Org Charts
- Ensure the accuracy of all deliverables.
- Coordinate with Managers/Supervisors/Associates on team KPIs (Key Performance Indicators) and SLAs that measure how well we deliver against client expectations - e.g. agreed timelines, achieving KPI metrics and goals - and prioritizing key governance deliverables across the team
- Own the collection of media vendor direct costs that are tracked manually working collaboratively between vendors and Sapient/Analytics team
- Administration
- Schedule key client meetings
- Monthly Governance, Client QBRs, Semi Annual Governance, Year End Reviews and writing of related presentations
- Collect monthly hours reports from Finance teams at Starcom, Saatchi and Sapient to generate monthly Hours report for the client. Collaborate with team leads to incorporate monthly insight into hours pacing.
- Work with Team and Client Operation Manager to organize team calendar for ongoing events such as team all hands, training and knowledge share meetings, and team social events
- Administer team surveys and capture feedback on how to improve our ways of working and culture within the team
- Work closely with client Vendor Relationship Manager (VRM)to support ongoing Ways of Working and Manage Expectations for SLAs
- Onboarding:

- Work with Team and Client Operations Manager to schedule new employee onboarding
- Facilitate access to relevant platforms for new employees: LionBox, Mediatools, Authorize, DCM, Google Ads, DV 360, DV, DDS/Prisma, DOMO, Intralinks

- Comfortable leading meetings, presenting information and addressing large groups of people
- Ability to multi-task and juggle short term deliverables with long terms goals
- Agility, and ability to toggle between tasks
- Curiosity, and ability to question established ways of doing things to improve upon them
- Organized, detail oriented, and impeccable with time management
- Excellent client communication skills and attention to detail given the level of seniority that they will communicate with daily

**Qualifications**:

- Degree in a related discipline (preferably in a Business, Communications, Marketing, Technology)
- 2-4 years experience in Project Management, Administrative role
- Experience within the Advertising industry is an asset
- Proficiency in the full Microsoft Office Suite
- Experience with industry software Mediatools, DCM, DV360 an asset
- Solutions-oriented
- Help carry out the smart ideas of others but is also able to speak up and challenge the status quo
- Someone who likes to thrive on a team and can also meet tight deadlines on independent assignments.
- Fully fluent in English for written and verbal communications
