The Clerk supports Leadership/Staff Teams implement operational and strategic plans to achieve goals & objectives. Incumbent assists in day-to-day administration and service provision. Clerk prepares materials, correspondence and reports in draft form, for approval by superiors; makes travel arrangements; plans meetings and special events; and administrates finances (*within approved spending limits).

**PROGRAM AND OPERATIONAL ADMINISTRATION SUPPORT**

Assist in the development, administration and delivery of programs and services by:

- Implementation and monitoring of document and information management practices
- Coordination of internal and external communication strategies
- Execution of specialized events and materials
- Providing cohesion throughout day-to-day operations across three locations; collaboration with internal and external colleagues

**FINANCIAL and HUMAN RESOURCES SUPPORT**

Supporting the financial and human resource management of the organization by:

- Financial transactions and licensing requirements
- Reviewing team member expenses for accuracy and reconciling petty cash
- Orientating and training staff, volunteers and student placements on office basics
- Assisting with Team meetings, recording minutes and producing reports
- Coordination of professional activities for staff

**ADMINISTRATIVE/LEADERSHIP SUPPORT**

Providing targeted support services to maximize the efficiency and effectiveness of Administrative/Leadership performance by:

- Coordinating schedules, communications, correspondence and meetings according to established priority and time-management strategies
- Collecting, collating and disseminating information
- Proof-reading documents, managing paper and electronic information
- Responding to inquiries/handling appropriate matters in Supervisor’s absence

**TEAM SUPPORT**

Provide support and facilitate efficient functioning of the HPC Teams by:

- Planning, notifications, preparations and recording of meetings
- Communications between Leadership, staff, students, volunteers and others
- Maintaining accurate files related to program and services

**EDUCATION AND FORMAL TRAINING REQUIRED**

**(a) Minimum level of education, formal training or equivalent required**:
Post-secondary education in business and/or administration

**(b) Other required certificates**:

- Non-Violent Crisis Intervention (NVCI)
- Satisfactory Police Clearance Check
- Valid G Class Ontario Drivers’ Licence, good driving record and current liability insurance, in accordance with requirements of HPC policy

**EXPERIENCE**
- Three (3) years’ administrative experience; preferably in non-profit business
- Experience supporting the work of a staff team
- Human Resource and Financial administration experience preferred

**Job Type**: Part-time
Part-time hours: 20-30 per week

**Salary**: $19.50-$22.00 per hour
