**Purpose of the Position**
Working directly with the Executive Director and event leaders, the Fundraising & Special Events Assistant will be responsible for assisting in the planning, management, and execution of internal fundraising events, third-party initiatives, and various activities as required to achieve the organization’s mission.
**Duties and Responsibilities**
1- Assist in the development, planning, execution, and wrap up of fundraising activities and events under the direction of the event leads
2- Set up and/or attend all event committee meetings
3- Research venues, services, and other needs as required for each event
4- Liaise with event stakeholders including venue, product and prize donors, and day-of service providers
5- Support the organization of event registration, guest details, and follow ups
6- Manage event volunteer recruitment, coordination, engagement, and recognition
7- Assist with event prizing including reaching out for donations, organizing prizes, taking product photos and setting up online auctions
8- Generate ideas and assist with event creative including props, centrepieces, décor, etc.
9- Attend and represent We Care at all internal events, third-party initiatives, and tradeshows as required; this may include some evenings and weekends
10- Assist in liaising with We Care Ambassadors related to internal and third-party events with respect to scheduling, speeches, and special instructions, as required
11- Handle post-event follow up tasks including prize pick-up, thank-you’s, and tax receipting
12- Work with Marketing Coordinator to update website and social media content
13- Other duties as assigned
**Qualifications**
- Relevant post-secondary education in event planning, marketing, volunteer management, or equivalent experience
- Proven successful experience with special events
- Experience with the management of volunteers and committees considered an asset
- Proven ability to work independently and co-operatively on a small team
- Flexibility and the ability to work well under pressure and adapt to changing circumstances, with on-the-fly and solutions-driven thinking
- Ability to relate well with staff, volunteers, and donors
- Ability to work calmly and strategically on multiple projects with conflicting deadlines
- Strong skills in:
- Multitasking, organization, and time management
- Attention to detail
- Creative thinking
- Written and verbal communication
- Managing cash and sale transactions
- Microsoft Office (Outlook, Excel, Word, etc.)
- Payment systems (e.g. Square)
- Google (Gmail, Drive, Forms, Sheets, etc.)
- Social Media Platforms (Facebook, Instagram, LinkedIn, etc.)
- Knowledge in the following are considered an asset:
- Accounting software (e.g. Quickbooks)
- Adobe Creative Suite (InDesign, Photoshop, etc.)
- Word Press and/or HTML
- CRM programs (e.g. Kindful)
- Electronic bidding systems (e.g. Handbid)
- Oral and written French language
**Requirements**:
- Valid Ontario driver’s license and the use of an appropriately insured reliable vehicle (vehicle will often be used for picking up and dropping off event materials)
- Periodic evening and weekend work, as required
- Physical effort and stamina required for lifting, loading/unloading vehicles, and event set up
- Some overnight, out-of-town/province travel required
**Application Procedure**
**Salary**: $40,000.00-$45,000.00 per year
