Job Title: Project Operations & AP Coordinator

**Job Type**: Full-Time, Hybrid 1:4 schedule (Tuesday to Friday onsite)

We are currently seeking an organized and detail-oriented person to join us full-time to handle accounts payable functions along with other general administrative tasks within our company. This is a great opportunity for an individual with experience contributing to the smooth operation of business.
Accounts Payable and Accounting Support
- Process and manage vendor invoices, ensuring they are accurate, properly coded, and follow company policies.
- Enter invoices into the accounting system and support reconciliation with purchase orders and statements.
- Track and follow up on missing invoices or supporting documents to keep records complete and up to date.
- Communicate with vendors to resolve payment issues, clarify discrepancies, and maintain good relationships.
- Prepare payment schedules and assist with timely processing of vendor payments.
- Run payroll processing.
- Assist with processing client compensations, referral bonuses, and refunds, ensuring accuracy and proper documentation.
- Maintain organized and up-to-date records of all accounts payable transactions for internal review and audit readiness.
Project Administrative Support
- Coordinate and maintain project scheduling and calendars.
- Provide general office support, including client communication and correspondence handling.
- Assist with office supply inventory, placing orders, and mail/pick-up management.
- Prepare and organize documents, reports, and presentations for management.
- Coordinate meetings, appointments, and events as required.
- Support clients with EV installations, Critterguard, and Snowguard projects.
- Perform clerical duties such as filing, scanning, and data entry.
- Ensure clients are greeted upon arrival and deliveries are received promptly.
Office Administration
- Collaborate with various departments to ensure smooth day-to-day office operations.
- Assist with organizing company events, meetings, and corporate functions.
- Help maintain the company’s filing system with accurate document organization.
- Support special projects as assigned by senior staff or department heads.
- Perform other administrative tasks to ensure efficient office functioning.
- Track and report company statistics to support cross-departmental collaboration.
**Qualifications**:
- Business diploma required; degree or higher with accounting specialization is an asset.
- Minimum 3 years’ experience in construction accounts payable, accounting, or administrative support.
- Experience with accounting software, preferably QuickBooks.
- Strong organizational skills with the ability to juggle multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent attention to detail and problem-solving abilities.
- Strong verbal and written communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- High integrity and ability to maintain confidentiality.
Working Conditions
- Full-time position with standard office hours: 7:30 am to 4:00 pm.
- Office environment with hybrid work options available after completion of training.
Compensation and Benefits
- Salary range: $50,000 to $60,000 annually.
- Paid time off including two weeks’ vacation and statutory holidays.
