This position of Administrative Assistant will report to the Executive Assistant. Vitrum Glass Group, Apex Aluminum Extrusions and Lorval Development are rapidly expanding companies, and the President requires a highly driven administrative professional team who strives to make executives successful in their lives and business. A TYPICAL DAY WILL INCLUDE:

- Travel arrangements for Managers and VPs
- Submit and reconcile expenses reports
- Reception coverage
- Answer telephone calls and greet office visitors in a prompt and courteous manner
- Ensure that requests and messages are handled and directed to the appropriate party
- Process incoming and outgoing mail and deliveries as required
- Maintain and update contact list
- Draft/edit/compose correspondence
- Data Entry
- Training: coordinate preparations of company training documents and presentations including compiling, editing, formatting, binding, and distributing
- Order and organize meals, and stock food and beverage inventory as required
- Organize meeting rooms and restock meeting room fridges
- Order office supplies, snacks and water as needed
- Order lunches, dinner, coffee for meetings, team events and for the President, as required
- Copy and scan documents, as required
- Assistance with event planning
- Other duties, as assigned.

KNOWLEDGE & SKILLS FOR SUCCESS:

- 3+ years’ experience in an Administrative Assistant role
- Advanced knowledge of Word, Excel, Outlook, PowerPoint and Teams;
- Strong written and verbal communication skills: always professional, accommodating, and discreet
- Extremely organized. Strong multitasking and time-management skills.
- Can handle sensitive information with the highest degree of integrity and confidentiality.
- Strong attention to detail.
- Resourceful, can-do attitude and be solution focused.
- Comfortable interacting with high-level executives and exercise discretion and sensitivity when working with them
