**Position Summary**
Working within the Education Department, the Student Services Receptionist will be solely responsible for managing all telephone enquiries, handling students and visitors, and undertaking other general “front of house” administrative tasks that ensure the effective working of the College on a day-to-day basis. The Student Services Receptionist is often the first point of contact for potential students and the public, and plays a role in general office appearance, organization, and professional impression.
This is a term position that ends March 31, 2026 with a possibility of extension.

**What you’ll do**
**_ General Reception_**
- Receive and direct all incoming calls on a multiline phone system, taking messages and distributing all messages efficiently to relevant staff and others within the College and community
- Receive and greet all visitors professionally, answering general questions where possible and referring specific enquiries to other staff where appropriate
- Maintain the visitor register, ensuring that all visitors sign in appropriately and are given a visitor identification badge or carry some form of visual identification that meets the College requirements
- Communicate with other Administration staff when the reception area is going to be unmanned and ensure that a back-up person has taken responsibility for the area during the absence
- Receive all incoming mail, courier packages and other deliveries not requiring special receipt by staff, and distribute all mail received
- Ensure that outgoing mail is posted at the end of each day
- Coordinate the pickup of mail and parcels especially assigned to courier transport
- Process fee and other accounts receivable cash and credit card payments as needed
- Ensure that the entry point into the College reception area is safe, clear of any litter, the phones are on, and that the front door is unlocked within the appointed hours of operation of the College
- Ensure the ongoing tidy and professional appearance of the reception and waiting areas
- Provide backup support for students in the Sick room as required, including the completion of Incident Reports
**_Administration _**
- Perform word processing, formatting, photocopying, printing, binding, collating, distribution and filing of documents, reports, and packs as need
- Enter and maintain data in college databases and systems
- Ensure that student reports are filed promptly, and maintained to a high level
- Provide general assistance in the Administration department as the College Receptionist role allows
- Ensure the operation and functionality of the office equipment utilized in the Administration areas of buildings and monitor paper, forms, and other stocks in the work room
- Prepare meeting rooms when required
- Accurately record and maintain petty cash in line with college processes
- Undertake regular inventory of stationery supplies, and ensure that inventory is stocked
- Prepare reports as required

- Provide a high level of customer and administrative support to the student body of Seabird College prioritizing their needs over other tasks
