We are looking for a Workplace Coordinator to become an integral part of our organization's success. As a Workplace Coordinator, you will play a key role in ensuring that our office environment functions smoothly, providing a pleasant and productive work atmosphere for our employees. This is an opportunity to be a vital link between different departments, fostering a sense of community and efficiency within our workplace.
WHAT WE NEED FROM YOU
Administrative Function
Assist Facility Management Team with tactical planning for the team’s goals and objectives and completion of day to day workload
Provide facility specific assistance to the account management team as needed or requested
Coordinate and maintain facility management tasks as assigned
Coordinate/support for client or JLL special events
Assist with the coordination and scheduling of maintenance activities.
Provide support for meetings and conference room reservations as needed and directed
Order and stock meeting rooms and supply cabinets as required.
Manage the reception area and security gates. Greet and sign in guests and contact their host.
Manage incoming and outgoing mail and courier.
Other tasks and duties as assigned.
Communication and Relationship Coordination
Provide general overall facility management services including continuous monitoring of office/facility
Act as an interface with client employees, visitors and guests
Ensure appropriate follow up with customers
Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with mínimal
Compliance
Properly and effectively administer and maintain JLL system information.
Assist with budgetary requests, analysis and reporting
Assist with researching, analyzing and reporting budget variances
WHAT WE’RE LOOKING FOR
Associates degree in business or other related field; or equivalent work experience
Bachelor’s degree preferred but not required
2+ years’ experience with Facilities or Property Administration
Superior customer service skills and orientation
Ability to maintain professionalism at all times under stressful situations
Ability to plan and manage work under time constraints
Ability to multitask and work without direct supervision
Experience working within Automated Work Order systems is a plus.
Proficient in MS Office Suite, and possess strong written, verbal and interpersonal skills
Strong organizational skills and collaborative style.
Ability to lift 50+ lbs.
