ROLE PURPOSE
REPORTING AND WORKING RELATIONSHIPS
- Reports and is accountable to the Senior Manager of Program and Service Implementation or their designate
- Participates as a member of Connective’s management team
- Liaises with government and community agencies, volunteers, and members of the general public

HOURS (20-32 hours per week)

KEY ACCOUNTABILITIES
Administration
- Manage and operate dental practice management system (ClearDent), print day sheets and ensure daily client insurance coverage is up to date
- Track, compile, and maintain accurate reports and statistics, providing regular updates internally and to BC Dental Association (BCDA)
- Greet and welcome clients, respond to patient inquiries and provide estimates of treatment options
- Schedules and confirms appointments, fill client cancellations from short list
- Process referral letters and other correspondence upon receipt from providers
- Update client files, managing all patient records confidentially
- Liaise with dental insurance providers, confirm and process payments
- Complete payment transactions, coding and finance approvals and execute bank deposits
- Update insurance fee guide and ensure correct coding in ClearDent system, ensure all treatments and payments get applied to client accounts
- Supervise the Certified Dental Assistant (CDA), coordinate with the dentist team, calculate and generate invoices for dentist payment and submit payment claims to finance department
- Assists the CDA, Hygienist, or Dentist during patient treatment, including chairside duties, when patient appointments overlap or when coverage is required during staff shortages
- Sterilization of rooms and instruments, prepare room for procedures and ensure the room is clean and sanitized afterwards
- Ensure equipment permissions to operate are updated as required, send Copy of Compliance to the BCDA

Programs
- Supports the overall program strategic direction
- Ensure that funder guidelines, based on all agreed goals and including all steps or success measurements and timelines, are completed.
- Implements and communicates all policies and procedures, including developing appropriate manuals, brochures and handbooks
- Hires, supervises, evaluates, transfers and terminates staff and/or contractors as necessary to fulfill the program goal
- Implements a system of staff and/or volunteer orientation, supervision, in service training and evaluation

Community
- Maintains effective working relationships with related community services, government/stakeholders and agencies
- Is knowledgeable of related agencies for effective client referrals and support, especially those in their respective communities

Facilities
- Ensures that the physical facilities fulfill all fire, health and safety regulations
- General maintenance of the clinic including general cleaning, restocking, laundry, and garbage
- Coordinate equipment repairs as needed, obtain estimates and submit grants to CDA for large equipment purchases
- Ensures that all resources are maintained as a clean, pleasant and safe environment

Health and Safety
- Functions as an Occupational Safety and Health (OSH) employer representative and may co-chair OSH committee
- Attends the health and safety training sessions for supervisors
- Participates as the organization’s representative in health and safety investigations mandated by statutory authorities or as directed by the organization
- Supports Connective’s OSH initiatives

EXPERIENCE AND SKILLS
- A bachelor’s degree and/or professional designation, with a minimum of 5 years of applicable or relevant transferable past work experience.
- Certified Dental Assistant (CDA) accreditation through the British Columbia College of Oral Health Professionals (BCCOHP)
- Experience working with vulnerable populations, including those impacted by substance use or mental health concerns considered an asset.
