**Procurement Advisor**

**What does this role involve?**

The Procurement Advisor will be responsible for procuring materials, equipment, services and coordinate vendors in accordance with company policies, procedures and systems to meet company goals in regard to quality, delivery and cost.

**Accountabilities**:
**Meetings/Communication**
- Contribution to providing timely and accurate project and financial reporting.
- Prepare monthly reports, minutes of meetings and any other correspondence as required.
- Regular Procurement meetings to update on status.
- Office and Site based meetings as required.

**Procurement Support**
- Assist in the production of all commercial documentation for the compilation and issue of all tenders, request for tender, and pricing documentation for all subcontracts.
- Prepare tender documents, addendums and contracts including formatting in line with the Sedgman style guide.
- Preparation of Transmittals for outgoing Documentation.
- Issue approved documentation to nominated suppliers.
- Collation of information for tender evaluation.
- Participate in the technical and commercial evaluation and recommendation of received tenders and quotes and the award of subcontracts.
- Assist in the preparation and administration of all subcontracts in accordance with the terms and conditions.
- Assist with the coordination and expediting of supply and subcontractor deliverables including inspection and auditing.
- Follow-up resolution of technical queries from subcontractors.
- Ensure sub-contractor payments are processed in accordance with the contract conditions.

**Vendor Management**
- Source and evaluate vendors according to price, delivery conditions and quality of their product/services.
- Manage relationships and ways of working with key vendors to ensure continuous improvement in the delivery of goods/services that meet business requirements.
- Implement all subcontracts in accordance with the agreed terms and conditions.

**Procurement Coordination**
- Administer the Vendor/Supplier/Contractor pre-qualification process, including organising meetings with potential new Suppliers.
- Ensure supplier contacts and details are updated and easily accessible in the Sedgman database.
- Monitor and report to Senior Advisor - Procurement, progress on procurement activities and implement corrective action on non-conformances as required.
- Maintaining and updating the project procurement registers/schedules to meet organisational, departmental, project and client objectives.
- Under supervision, procure equipment, supplies, materials, services at the most favourable prices consistent with the desired quantity, quality, delivery and other factors.
- Conduct authorised procurement in accordance with policy and lead time requirements.
- Supervise controls on receipt and acknowledgment of materials and supplies and the maintenance of purchasing records.
- Co-ordinate and participate in technical and commercial evaluations and compile recommendations.
- Pursue specific warranties and credits with external suppliers.

**Quality Management**
- Participate in the development and continuous improvement of the Quality management process and system and ensure that project and Sedgman quality standards are implemented in the department.
- Ensure that documentation is completed, filed and auditable (accuracy, mínimal rectification required after checking).

**Qualifications**:

- Relevant sub-professional technical qualifications - preferred but not essential.

**Essential skills, knowledge, and experience**:

- Minimum 5 - 8 years’ experience in procurement in a projects / engineering environment.
- Well-developed analytical, research and evaluation skills including the ability to identify and implement strategies for improved service delivery.
- Sound planning, organisational, and administrative skills with demonstrated effectiveness in developing systems, processes, and procedures to prioritise tasks and ensure achievement of goals and meet deadlines.

**Desired skills, knowledge, and experience**:

- Commercial / Financial Understanding.
- Knowledge of project finance.
