Come work with us Job Summary **A Brief Overview** Reporting to one Administrative Hub Manager and taking direction from the other Administrative Hub Manager, the Undergraduate Program Advising Coordinator provides dedicated and centralized in-person front line academic support functions for undergraduate students within Faculty of Arts and Science Administrative Services Hub 1 while taking the lead for the Political Studies undergraduate programs and providing back up support to the other undergraduate programs within our constituent academic departments: Geography and Planning, Global Development Studies, Policy Studies, Political Studies, and Sociology. As a unified administrative services hub, we aim to foster greater collaboration, streamline our administrative processes, and enhance our overall efficiency and effectiveness. As one of the Undergraduate Program Advising Coordinators, the incumbent is responsible for the undergraduate program in Political Studies, taking the lead in administrative support for curriculum, timetabling and room bookings for undergraduate courses; and serving as a resource to faculty (>25) and students ( 800 plans) with questions regarding departmental policies and procedures, acts as primary resource to manage the process for enrollment and registration, and monitors student progress, implementing plans where appropriate and communicating with individual students; and taking the lead, as needed, on facilitating website page updates and/or scheduling proctors; and providing back up support to faculty and students registered in the other undergraduate programs within the hub regarding departmental policies and procedures, enrollment and registration, and communicating with individual students. Note: This position may require the incumbent to occasionally work flexible hours including evenings and weekends to accommodate special events and/or meetings. This position coordinates the development of online and print marketing and/or participates in recruitment events to attract students to the undergraduate program. This position supports admissions, enrollment and registration processes and is the academic advisor for undergraduate students. This position also serves as the main resource to faculty and students for departmental policies and procedures. The schedule for this position requires the incumbent to work evenings and weekends. **Job Description**: **What you will do** Coordinates the development of online and print marketing. - Organizes and participates in recruitment events or related activities to attract students to the undergraduate program.Responds to inquiries about the program from students, prospective students, parents, etc.Acts a resource person to faculty and students with questions regarding departmental policies and procedures.Acts as the primary resource and manages the process for admissions, enrollment and registration.Provides academic advising for undergraduate students.Monitors student progress, implementing plans where appropriate and communicating with individuals.Refers students to other student services (i.e., Student Wellness, Career Services, etc.).Generates and monitors graduation list. - Facilitates website page updates. - Manages the administrative process for awards, communicating as appropriate to committees and individuals. Manages and coordinates administrative matters relating to the delivery of special projects within the undergraduate offices.Manages students in academic jeopardy, assisting through the appeal process.Acts as the timetabling administrator, ensuring conflict free and accurate scheduling, room bookings, calendar revisions and departmental posting.Manages departmental files.Provides daily administration and operation support to the program, including preparing correspondence and taking on secretarial duties in meetings.Creates and distributes surveys to students, analyzing for trends.Provides input to yearly academic program selections.Advises and assists with all term adjunct hires, appointments and renewals. - Prepares employment contracts.
