The Body Shop Administrator accepts and directs incoming calls, takes detailed messages, and provides basic information to callers. S/he is the Body Shop’s front-line contact with the public and administrative coordinator and must represent the body shop in a professional, and friendly manner at all times.

**Core Accountabilities**
- Accepts all incoming calls and determines whether the person being called should be interrupted.
- Communicate with callers in a professional, friendly and efficient manner, striving to minimize the time they are put on hold.
- Take detailed messages, including the caller’s first and last name, company name if applicable, the time, and the message the caller wishes to leave.
- Communicate messages to the appropriate parties in a timely manner.
- Provide basic information to callers who have general inquiries.
- Prepare and update customer files.
- Obtain customer’s written approval on all repair orders at the time of the write-up or when closing additional add-on sales.
- Close repair orders.
- Ensure personal protective equipment is worn at all times when entering the shop.
- Perform clerical and administrative and other duties as assigned.

**Requirements**:

- High school diploma or equivalent.
- Valid Ontario G Driver’s Licence.
- Clear Driver’s Abstract.
- Experience working in a Body Shop.
- Ability to effectively manage time, meet deadlines and complete all assigned tasks.
- Proven organizational skills.
- Excellent customer service skills: both written and verbal.
- Ability to work in a team and independently.
- Sound understanding of all automotive functionalities.
- Experience using Mitchell on Demand, Audatex and MS Office.
- Must speak clearly on the telephone and convey an image of professionalism
- Must have an enthusiastic and outgoing personality.
- Must be able to convey messages to employees clearly and quickly.
