Business Assistant, English Language Program

UWinnipeg's English Language Program (ELP) delivers high quality programming to international and domestic students seeking to enhance their English proficiency.
The **Business Assistant is a full-time continuing position** that shares the responsibility of information dissemination, registration, admissions, and records with the Office Manager and acts to back up all the responsibilities of the Registration Assistant. This position supports the ESL Teacher Certificate Program, and the Director and Manager of Accounting & Administration, and is responsible for program room bookings and facilities.
**Responsibilities**:
- Creates deposits due for students who have applied.
- Admits students, and ensures they are registered appropriately, creates and maintains student folders.
- Creates charges, processes payments, and policy-driven refunds,
- Adjusts financial records.
- Assists with updating group and tracking lists.
- Issues letters of acceptance, and distributes documents to students.
- Processes the daily deposit.
- Assists with maintaining cash float.
- Assists in the tracking of health insurance fees.
- Enters and verifies grades, processes graduations, and creates transcripts.
- Attends first day program orientation when required.
- Backs up Registration Office Assistant with all duties.
- Supports Short Term & Intensive Program when required.
- Performs receptionist duties for Teacher Certificate Program (TCP) area.
- Arranges facilities for meetings and backs up Academic Program Assistant with room bookings.
- Acts as facilities assistant, including keeping common areas of all program areas tidy, removing boxes, liaising with Facilities and Bee Clean, monitoring bulletin boards, organizing recycling and monitoring media equipment.
- Files, photocopies and scans for business office.
- Processes payroll for casual staff.
- Prepares routine data compilation for the preparation of reports, data processing and/or word processing.
- Runs weekly Recruit Statistical Report for Director.
- Performs receptionist duties for English as an Additional Language Teacher Certificate Program (EAL/TCP) area, including receiving, screening and directing calls and visitors.
- Updates marketing information for EAL/TCP area.
- Prepares EALTCP Senate material for approval by EALTCP Coordinator,
- Orders supplies for the EAL/TCP area.
- Files incoming documents relating to practicum placements and updates folders and Excel spreadsheets to indicate submitted documents.
**Qualifications**:
- High School Completion.
- Undergraduate degree completed or in progress an asset.
- Four years directly related experience.
- Customer service experience.
- International and/or multicultural work experience considered an asset.
- Experience in an ESL/EAL environment considered an asset.
- Excellent organizational skills.
- Excellent written and oral communication skills.
- Ability to organize and prioritize routine secretarial/clerical functions.
- Excellent interpersonal, negotiating, and conflict resolution skills.
- Well-developed awareness and sensitivity to cultural differences and expectations.
- Proven sensitivity to the experiences and needs of second language learners.
- Familiarity with UW policies and procedures as they relate to international students.
- Familiarity with educational settings an asset.
- Ability to work to deadlines and under moderate pressure.
- Ability to work in an unsupervised environment, and to work effectively on team-based projects.
- Ability to work and communicate in a cross-cultural work environment.
- Ability to follow oral and written instructions and procedures.
- Ability to communicate in a second language an asset.
**An equivalent combination of education, experience, skills, knowledge and abilities may be considered.**
**Condition(s) of Employment**:
- Must be legally entitled to work in Canada.
**The salary range for this position will be from $**37,073.40** to $**51,178.40** annually, and the schedule will be Monday to Friday from 8:30 AM - 4:30 PM.**
