Salon Assistant Manager Job Description

The Salon Assistant Manager plays a key role in ensuring smooth salon operations while driving high performance, team development, and exceptional guest service. They oversee daily team management, financial performance, retail initiatives, and customer service standards, while adhering to measurable KPIs for salon growth.

Purpose

The mission of the Salon Assistant Manager is to provide strong leadership and direction for our world-class Salon & Academy. This role is dedicated to fostering a positive, supportive, and healthy work environment for both internal team members and external guests, ensuring an exceptional guest experience at every touchpoint. By maintaining high standards of service and operational efficiency, the Assistant Manager will contribute to creating and sustaining a profitable and thriving business, supporting the overall growth and success of the salon and the team.

Key Responsibilities & KPIs:
1. Team Leadership & Accountability
- Coaching & Development: Provide daily, weekly and monthly coaching, feedback, and growth conversations to team members. Hold team accountable to 5-Star Guest experience and KPIs and concierge/apprentices to checklists including training checklists. Ensure Productivity (80%+) across all roles.
- Talent Assessment & Staff Retention: Oversee performance and talent development, maintaining an 80%+ A & B players. Aim for Overall Staff Retention of 80%+ by fostering growth and job satisfaction.
- Hiring: Participate in Personal Interview and final decision for new hires. Follow all required interview steps responsible for training process. Ensure trainee meets expectations of Position prior to hiring. Collaborate with HR and Manager for team member training schedules and book in training shifts in to phorest. Release team members who are not meeting expectations.

2. Financial Performance
- Revenue & Profit Goals: Help drive Total Revenue Growth of 10%+ each month and contribute to maintaining Gross Profit above 50%. Monitor EBITDA, ensuring financial health.
- Expense Management: Keep expenses at 32% or below by managing payroll, supplies, and operational costs effectively.

3. Retail & Inventory Management
- Retail Ordering: Ensure Retail Ordering completed weekly and is maintained at less than 50% of total sales to control stock levels and stay within budget. Credit orders submitted in a timely manner. Maintaining friendly professional relationship with suppliers and distributors. Inventory is sent on the 1 of every month.
- Product Management: Collaborate with the team to maintain a fresh and exciting retail environment, optimizing sales and merchandising. Communicate effectively with team about all products, promotions and PK education.
- Merchandising & Promotions: Maintain the aesthetic of the retail sales area with seasonal merchandising and monthly promotional activities to drive sales and enhance guest experience.

4. Payroll & Scheduling
- Concierge & Apprentice Payroll: Oversee Concierge Payroll and Apprentice Payroll, ensuring payroll is in line with budget while maintaining productivity and service standards. Concierge schedules posted by 15 of every month. Notify HR for Labour Requirements.
- Scheduling Efficiency: Ensure optimal team scheduling to balance service needs and labor costs, maintaining Productivity (80%+) across all roles. Team vacation requests approved and balanced with chair availability.
- Booking efficiency and optimization: Maintaining a productive and efficiently booked appointment schedule. Follow up on booking errors and booking optimization.

5. Guest Retention & Service Excellence
- Existing & New Guest Retention: Ensure high levels of guest satisfaction, aiming for strong Existing Guest Retention (85%+) and New Guest Retention (55%+) rates. Act on feedback to continuously improve the guest experience. Client call backs are printed and distributed to stylist team monthly and team is held accountable to calling guests.
- 5-Star Guest Experience: Uphold a 5-Star Guest Experience by handling concerns and delivering excellent service, ensuring each guest’s experience aligns with company standards. Maintain cleanliness of front desk and salon space.
- Scripting and Communication: Maintain up to date scripting for promotions, welcome trays, and guest check in and departure.

6. Administrative Responsibilities
- Payroll & Financial Reconciliation: Complete payroll processing on time (11th and 26th of each month), ensuring accuracy and consistency with reconciliations (less than 10 errors), tips, and hours.
- Shop Supplies & Inventory: Manage Shop and Office Supply expenses, ensuring they remain within budget and all items are stocked and organized, including snack and beverage bar. Oversee Retail Inventory and place timely orders to maintain stock levels.
