This position is to source and supply repair parts to support the Mechanical Branch of the PEI Department of Transportation and Infrastructure. It involves assisting the Parts Room Supervisor with the daily operations of the parts facility. Additionally, the role includes managing financial, administrative, and record-keeping tasks related to invoices for goods and services for Highway Maintenance equipment repairs, procured through the Oracle financial system and credit card purchases for the Mechanical Branch. The position also involves maintaining appropriate inventory levels, issuing parts, and keeping accurate equipment records.
This position is a vital part of the Highway Maintenance team, responsible for managing parts and repairs for over 300 pieces of equipment across various makes and models, including plow trucks, electric cars, school buses, and heavy machinery.
**Duties will include but are not limited to**:
- Providing front line counter service; issuing parts, materials and supplies to mechanics and operators; recording items issued to work order to be charged to applicable account or machine;
- Ordering stock and supplies; monitoring inventories, and pricing, and securing new stock items; following purchasing regulations and guidelines.
- Receiving parts materials and supplies; entering new inventory into information management system; dealing with vendors and suppliers; checking packing slips to determine if the order is complete or back ordered;
- Completing transactions for financial management (invoicing, requisitions, local purchase orders) and using data entry in the Fleet Anywhere System and/or Oracle; ensuring parts are tracked through part numbers, invoices, unit descriptions, cost into fleet system, and included to inventory;
- Reporting any shortages or inventory irregularities to supervisor;
- Maintaining Fleet Anywhere activity files including creating, receiving, and closing work orders; issuing parts, labour, and preventive maintenance schedules; creating and updating history files for new, traded and disposed equipment; providing applicable reports to Supervisor, Section Supervisors, and Depot Manager;
- Performing periodic inventory stock checks and month end and year end transactions and reconciliations;
- Assisting Supervisor in preparing tender list; creating requisitions for tendered parts, materials and supplies;
- Maintaining daily fuel records; recording daily dips of fuel tanks; comparing results against print out from pump and fleet. Reporting all fuel discrepancies and shortages to supervisors;
- Picking up and delivering parts, mail, or other documents urgently needed;
- Operating forklift; unloading and loading of parts, as required;
- Updating storage and shelving requirements; noting appropriate storage of dangerous goods and storage of hazardous chemicals;
**Minimum Qualifications**:
- Must have successful completion of Grade 12 or equivalent.
- Must have a Trade Qualification Red Seal in Parts.
- Must have considerable recent experience in a related (mechanical repair environment) stockroom within a computerized environment.
- Must have demonstrated computer skills (i.e., LAN-based software, Microsoft 365, GroupWise, etc.).
- Experience in Oracle FIS and I-Procurement would be considered an asset.
- Be physically able to perform the duties of the position; including heavy lifting, bending, standing for periods of time, etc.
- Ability to work under pressure with minimum supervision and establish work priorities.
- Must have a valid Prince Edward Island Class 5 driver's license and provide a current and satisfactory driver's abstract.
