Breslau Animal Hospital is an independently owned animal hospital that has been successfully serving the communities of Breslau, Guelph, Cambridge, Kitchener-Waterloo and other surrounding areas since 2006. We strive to provide individualized veterinary medicine through a warm, supportive, compassionate, respectful, ethical and professional model.

We are looking for a Hospital Administrator to support our owner and staff by performing administrative, financial and IT tasks. The incumbent would provide analytics to help our team reach and exceed our goals and create engaging and informative content for our clients online and through in-house documents. This individual must be passionate and knowledgeable about the veterinary field, and mature, respectful and professional in their communications at all times. They also must also be knowledgeable about dealing with confidential information. The successful individual will be personable, kind and be able to take instruction well while working independently and with others on the team. They will be supported by the owner and floor manager at all times.

Administrative tasks include but are not limited to:

- Sending new client welcome letters.
- Sending out mass notices regarding service interruptions, or notices from third parties such as recalls, discontinuations or back orders.
- Enrolling staff in approved CE.
- Administering the staff bonus program
- Continuously updating BAH website.
- Updating and ordering staff manuals.
- Maintaining staff files along with the floor manager.
- Ordering and ensuring stock of office supplies.
- Onboarding staff to medical benefits program.
- Ensuring the completion of all legal forms.
- Generating and sending all requested renewal, promotional or claims information to our third parties, including: insurance, our regulating bodies and key industry suppliers.
- Assisting to complete a Bi-annual inventory and ensuring equipment list is up to date.
- Acting as secretary for staff meetings, and ensuring all discussed information is disseminated to absent staff.
- Directly and frequently communicating with the owner and floor manager and ensuring staff are kept up to date on changes.

Marketing tasks include but are not limited to:

- Responding to reviews on Google and Demandforce.
- Creating and monitoring social media content on Facebook and Instagram.
- Creating/updating Puppy, Kitten and Senior pet information booklets and kits.
- Running seasonal promotional campaigns.
- Developing seasonal On Hold Messages to send to production team.
- Maintaining the “Staff of BAH” blog.

Financial tasks include but are not limited to:

- Completing cost comparisons of required supplies and services.
- Determine if supplier promotions are worth investing in.
- Track and interpret KPIs.
- Verify and submit payroll information.
- Evaluate monthly expenses and investigate anomalies.
- Create weekly and monthly financial reports.
- Generate month end and year end reports for book keeping and accounting teams.
- Updating the costs of goods and services into administrative software.

IT tasks include but are not limited to:

- Consulting with IT teams to correct any system errors.
- Completing fixes to company server, hardware, and Avimark based on consultation with IT.
- Fixing computer and printer errors.
- Completing regular back-ups of our Avimark data, and other server maintenance.
