Chapter Operations Manager

YPO is a member-based organization that provides educational and relationship building events for its members. Within this organization, the role of “Chapter Manager” is assigned to this position.
The Contractor is expected to provide specialized assistance to the Chapter Chair and to the Chapter Executives.
The Contractor is also the primary point of contact for members with questions or issues. The Contractor is expected to facilitate communication between the executive committees and the members, as well as between the local chapter and various other chapters, Regional councils and YPO International.
The Services will require a minimum twenty (20) hours per week of work with fluctuations based on events running, and seasonal variances. The Contractor will be available for communication or meetings during normal business hours, with consideration for events/chapter business that may occur after business hours. Reasonable support and direction will be provided to the Contractor by the Client in relation to Client specific procedures, and processes.
The Client may determine that the Contractor requires training on YPO International processes, including travel related participation of the Contractor. All such travel and related expenses shall be reimbursed by the Client in accordance with this Agreement.
Job responsibilities would include:
**Administrative Support**:
- Partner with chapter officers in executing their vision and strategic plan for the chapter
- Send communications to membership on behalf of Chapter Officers, Event Teams and/or YPO Canada Region.
- Take proactive approach to scheduling meetings, and sending meeting invites on behalf of Chapter Leadership. Ensuring that all agendas and meeting minutes are circulated in a timely fashion.
- Maintain accurate records of Chapter Meetings and AGMs.
- Maintain accurate records of Chapter Officers, Forums, and Chapter Health Metrics in Salesforce.
- Support YPO’s member renewal process through frequent communication on deadlines and ensuring members have met their requalification criteria.
- Manage chapter’s budget, financial records and payments - ensuring payments are approved by the Chapter Finance Officer, local chapter dues are collected, and materials are sent quarterly to KPMG for HST and tax filing.
- Ensure that Chapter Officers and Forum Moderators have registered for and attended YPO training required for their role.
- Format and build chapter and member data metrics/analytics.
- Create communication lists for customized member contact for event and chapter communications.
- Ensure chapter complies with governance responsibilities, including electing chapter officers, providing officer training information and adhering to the chapter by-laws
**Membership**:
- Guide the membership recruitment process.
- Process waivers when applicable.
- Record best practices and steps behind the scenes.
- Keep Membership Dashboard, Status and Changes and Prospective Member paperwork up to date.
- Create and maintain communication tracking spreadsheet to be used by Membership Officer.
- Work with Forum Officer to manage placement of new members in a forum.
- Welcome new members, add them to MicroForum portal and introduce them to key chapter officers.
**Learning and Events**:
- Manage the process and execute chapter event logistics as envisioned by Learning Officer.
- Responsible for agenda, setup, execution, and breakdown of events. Establish event onsite checklist and undertake event planning responsibilities as required.
- Manage pre-event registration process to include: registration questions, pulling registration reports weekly, editing registrations and pulling and creating name badges at all events.
- Assist Event Champions with ideas and communications for all events.
- Prepare post-event evaluations and report.
- Travel with chapter when needed (for all events).
- Reach out for contracts with vendors including caterers, restaurants, venues and photographers, etc. when required.
- Develop simple event marketing materials in platforms like Canva. These could include event invitations and images for event pages on YPO’s event platform CVENT.
