Julian of Norwich Anglican Church is hiring a part-time Parish Administrator.
The Parish Administrator offers services supporting the parish clergy, churchwardens, and other contract or volunteer ministry leaders. The role is to administer the management and completion of numerous weekly and monthly tasks supporting parish communications, rentals, finances, and property maintenance.
This individual will be strong in organization, time management, communication and possess an aptitude for collaboration and teamwork in a church ministry comprised of parishioners, contractors, and clergy.
**Principal Duties**:Administrative support**:

- Correspondence, etc. - Prepare and proof-read correspondence, bulletins, flyers, etc. produced at the church (including proof-reading material forwarded by others).
- Official certificates, etc. - Create as required and keep and file pastoral records (baptisms, marriages, etc.).
- Coordinate facilities for any funerals and weddings held at the church. As noted under Terms of Employment, this responsibility may fall outside regular work hours.
- Annual reports - Assist in production of reports (e.g., Parish Information Report).
- Parish Annual Vestry Report - Produce with input from others.

**Communications**:

- Be prepared to meet visitors during working hours on Tuesdays and Thursdays.
- Voice mail messages - Check and respond accordingly.
- Filing - File documentation appropriately, maintaining electronically and, as necessary, paper filing systems.
- Children’s bulletins and colouring sheets - Ensure copies are prepared and placed in the Children’s nook for each Sunday.
- Monthly newsletter - Print and mail approximately 27 copies.
- Office supplies - Purchase office supplies as needed including soap for dish sanitizer in kitchen.
- Maintain all office equipment in good working order and arrange regular service calls.

**Property**:

- Routine facilities maintenance - Inform the Property Manager when routine maintenance is required for things such as light bulb replacement, specific cleaning tasks, etc.
- Contact heating company to arrange to have the boiler turned on for the winter, off in spring.
- Tidiness of sanctuary and narthex - Pick up old bulletins and other loose papers around the church and recycle them.

**Financial**:

- Offerings in personal or collection envelopes received on an ad hoc basis - Take to the counting room and put in the lockbox, noting, in the case of any offerings from an unknown donor, when and from where the offering was received (e.g., from the Thursday service).
- Cash or cheques that are not offerings - Ensure they are stored in appropriate cash box and that there is a document accompanying the cash or cheque describing who it is from, when it was received, and what it is for. Ask the payer to sign a funds summary document and add your signature. When requested, provide a receipt.

**Educational Requirements**:

- Successful completion of secondary school with a post-secondary diploma in business administration or an acceptable combination of education training and/or experience.

**General Skills**:

- Experience with office administration software: Google, Outlook, Word, Excel, etc.
- Highly developed grammar, spelling and proofreading skills.
- Ability to work independently or with little guidance.
- Ability to make good judgments (i.e., when to involve corporation in decision-making process).
- Highly developed organizational skills.
- Accurate bookkeeping skills.
- Tact and diplomacy in dealing with parishioners and clients.

Hours of work are 10 hours per week (9 am - 2pm) Tuesday and Thursday (September
- June). Summer hours will include only one 5-hour work session per week for July and August, with the other 5 hours considered paid vacation in July and August. Note that in the case of weddings or funerals, additional hours outside regular work hours may be required and will be compensated as overtime worked.
**Compensation**: $23 - $27 per hour
