The Foundation Operations Department is critical to all aspects of the success of the Foundation. This area is highly collaborative and connected to Philanthropy, Marketing and Donor Relations, working toward instilling joy and fulfillment in our donors and prospective donors, motivating them to continue their support of the Foundation’s work. Our donors are the center of all we do, and our goals are to engage, retain and grow philanthropic impact through various methods of cultivation and stewardship. Through innovative and meaningful engagement, we strive to become the charity of choice for donors in Richmond and beyond.
**What we offer**
A full-time permanent position with a competitive hiring salary range between $57,000 to $67,000 per annum, depending on experience, qualifications, and relevant skills. **The Opportunity**
This position is responsible for accurate gift processing, maintaining data integrity, and delivering high-level customer service to internal and external stakeholders, demonstrating both proactive and responsive approaches to donors. Additionally, the role includes backup support for the Donor Services Assistant, manages the reception desk, and assists with general office administration, highlighting a versatile skill set crucial to the Foundation’s success.
**Key Areas of Responsibility**
**Data Management & Administration**
- Generates accurate donor lists and reports from Raiser’s Edge, and ensures records are kept up to date to reflect the activities undertaken
- Conducts data analysis to extract insights that inform strategic direction
- Manages data imports, exports, and updates, ensuring accuracy and integrity in Raiser’s Edge
- Coordinates direct mail campaign production, liaising with the mail house vendor to ensure accuracy of lists and coding, and upload back-feed files into Raiser’s Edge
- Serves as a Foundation ambassador, delivering exceptional customer service to donors and stakeholders
- Supports and participates in Foundation events and fundraising activities, as required
**Gift Processing Support**
- Processes and records donations in Raiser’s Edge, ensuring prompt and accurate data entry
- Manages day-to-day online donation imports and ensure proper donor attribution
- Generates and distributes mail merge donor thank-you letters and tribute cards.
- Coordinates and processes monthly credit card donations including creating new donors set up, updating donor records with changes, and contacting donors for expired or declined cards
**Office Administration Support**
- Provides backup coverage to the Donor Services Assistant including reception desk coverage, greets donors and guests, answers general phone inquiries in a professional and courteous manner and re-directs calls as required
- Provides backup coverage to the Donor Services Assistant with office management activities
- Oversees a volunteer team when required
- Other duties as required
**What You Offer**
- Proficiency in CRM systems, particularly Raiser’s Edge (RE NXT), at an intermediate to advanced level
- Experience with digital and e-marketing tools within Raiser’s Edge NXT
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and mail merge functions.
- 3+ years administrative experience in the not-for-profit fundraising environment
- Undergraduate degree, post-secondary diploma or equivalent experience in a related field
- Strong analytical and problem-solving skills, with exceptional attention to detail and accuracy
- Experience with query creation, imports/exports, donor segmentation, managing events/e-marketing activities in the Raiser’s Edge & RE NXT
- Strong planning, organization, and time management skills, with the ability to prioritize multiple tasks and meet deadlines
